The Technical Executive Assistant to Manager provides high-level administrative and technical support to the manager, ensuring smooth operations and efficient management of projects, meetings, and day-to-day tasks. This role combines traditional executive assistant duties with technical expertise, involving coordination of projects, maintaining technical documentation, and assisting with technical workflows. Key Responsibilities:
- Administrative Support:
- Schedule and coordinate meetings, appointments, and travel arrangements for the manager.
- Prepare, organize, and maintain documents, reports, presentations, and correspondence.
- Manage communication between the manager and other departments, stakeholders, or clients.
- Handle confidential information and manage sensitive tasks with discretion.
- Technical Assistance:
- Support the manager in the preparation of technical reports, presentations, and project documentation.
- Assist in managing technical projects by organizing tasks, tracking progress, and ensuring deadlines are met.
- Maintain and update technical documentation, databases, and project management tools.
- Provide technical assistance for tools, software, and systems used by the manager and team.
- Project Management Support:
- Help monitor project timelines, deliverables, and resource allocation.
- Coordinate team activities to ensure projects are progressing on schedule.
- Gather and analyze data for project reports, updates, and performance metrics.
- Technical Troubleshooting and Support:
- Provide basic troubleshooting and technical support for the manager’s equipment, software, and systems.
- Work closely with the IT team to resolve issues related to hardware and software, ensuring minimal downtime.
- Cross-Department Collaboration:
- Serve as a liaison between the manager and cross-functional teams, ensuring seamless communication.
- Prepare and maintain technical documentation and training materials for team members.
- Other Duties as Assigned:
- Assist in ad-hoc tasks as requested by the manager.
- Maintain an organized and efficient work environment, ensuring proper record-keeping for future reference.
- Education:
- Bachelor's degree in Mechanical Engineering and MBA / Bachelor's degree in Mechanical Engineering
- Experience:
- Minimum of 3 years experience in an executive assistant, technical support, or project coordination role, preferably in a technical environment.
- Strong understanding of technical terminology, software, and systems used in the industry.
- Skills:
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
- Strong organizational and multitasking skills with the ability to prioritize effectively.
- Excellent written and verbal communication skills.
- High attention to detail and problem-solving abilities.
- Ability to work independently with minimal supervision while being proactive in offering support.
