Description The Administrative Assistant in the Estimation Department plays a crucial role in supporting the administrative and technical activities related to the estimation processes of construction and/or civil engineering projects. The holder of this position works closely with estimators and other team members to ensure the accuracy of estimates and the smooth execution of projects. Responsibilities •Assist estimators in the preparation and submission of project proposals. •Organize and maintain up-to-date project files, including bid documents, plans, specifications, and contracts, and share information with relevant parties. •Initiate the opening of bidding projects. •Review layout and receive tender documents. •Prepare and send requests for resolution, bonding, and insurance for each project being bid on, where applicable. •Format bid sheets for projects and other related documents. •Verify bidder instructions (specifications) to prepare bid forms and all related documents requested by the client. •Follow up on files and update upon receipt of addenda. •Bid forms and specifications. •Actively contribute to the preparation, review, and assembly of documents and presentations. •Ensure a high level of quality in the terminology and presentation of documents. •Follow up on contract reviews for bids. •Prepare and submit the manager's expense account. •Occasionally make travel arrangements for the manager and team members. •Perform any other related tasks. Requirements •Degree in secretariat, administration, office management, or a related field. •Excellent organizational skills and the ability to manage multiple tasks simultaneously. •Strong written and verbal communication skills, with a keen attention to detail. •Proficiency in office software (Microsoft Office, particularly Word, Excel, and PowerPoint) and document management systems. •Ability to work independently and take initiative. •Professionalism and discretion in handling confidential information. •Previous experience as an administrative assistant, ideally in a construction or civil engineering environment, is an asset.
