Events & Training Coordinator

We are looking for a highly motivated Administrator for our client, a leading provider of building insulation solutions. In this role, you will support the technical team in driving sales by efficiently managing and coordinating internal and external training events, team meetings, and staff training (both in-person and online). The role involves ensuring effective communication and streamlined operations within the team.
Key Responsibilities:
Manage E-mail Enquiries- Efficiently manage and respond to all enquiries received via email.
- Acknowledge, route or escalate inquiries, and ensure timely responses.
- Log all relevant data on HubSpot and ensure synchronization of attachments and communications.
- Implement a regular review process to ensure prompt follow-up on all enquiries.
- Develop and manage an annual training calendar.
- Organise internal and external speakers, ensuring all logistics (e.g., Teams links) are arranged.
- Send reminders to attendees, manage event execution, and provide post-event follow-up, including certificates and feedback requests.
- Maintain up-to-date presentation templates in line with design standards and ensure smooth event execution.
- Liaise with external training partners as required.
- Collaborate with team members to plan and prioritise events based on business needs.
- Manage the annual event calendar in coordination with the marketing team.
- Handle venue bookings, liaise with vendors, and manage event logistics, ensuring the transportation of samples, displays, and literature.
- Ensure that internal and external speakers are arranged and all event details are communicated to attendees.
- Post-event, follow up with feedback requests and conduct analysis to improve future events.
- Maintain and update contact data in HubSpot, ensuring it is complete and compliant.
- Support the technical team in tracking and managing technical specifications through the CRM system.
- Generate ‘Spec Deal’ reports and lead bi-monthly reviews to assess the progress of deals and transition them into the sales pipeline.
- Assist the team with HubSpot-related queries and ensure technical specifications are accurately recorded.
- Provide administrative support to the remote technical team.
- Coordinate meetings, site visits, toolbox talks, and training requests.
- Assist with product sample requests and datasheet coordination.
- Organise attendance for external conferences and events, and coordinate technical team meetings, including note-taking and circulation.
- Ensure all CPD presentations are regularly updated and maintained.
- Support staff training initiatives, especially for new employees and when launching new products.
- Assist with in-house and external event planning and coordination.
- Support the marketing team with communications to external customers.
- Occasional travel to external events may be required.
Qualifications and Experience:
- A bachelor’s degree in business administration or a related field, or equivalent experience, is advantageous.
- A clean driving licence is essential.
- A minimum of 2 years' experience in business administration, sales support, or a similar role.
- Proficiency in MS Office and experience with CRM systems (HubSpot experience is a plus).
- Knowledge of the construction industry and/or a keen technical interest is helpful but not essential.
