Publicis Re: Sources is looking for a person to join our Global Mobility team and support our Global Mobility program operations. When our brands have mobility needs, Publicis Re: Sources provides solutions. We help them as swiftly and as impressively as possible. Our Global Mobility team supports the organisation with everything that involves cross border travel including tax, Social Security, relocation support. We are a team of experts that excels in supporting our brands to move seamlessly across borders, managing risk and compliance all while providing excellent customer service. Job Summary The Associate, Global Operations will be an entry level role into the World of Global Mobility and will be an individual contributor as part of a new centralized team providing operational support to Global Mobility team members worldwide. You will be responsible for executing operational processes to deliver quality and timely outcomes in all areas of Global Mobility, with a focus on Mobility Operations. You will be responsible for supporting, team administration and supporting the GM Team with all activities in relation to the mobility lifecycle. You will work under the general supervision of the Manager/Sr Manager– Global Operations. Your primary responsibilities but not limited to:
- Administrative support - Provide comprehensive assistance to the Global Mobility Operations team, encompassing tasks related to diverse mobility projects, assignments, initiations, preparation of travel letters, updating trackers, billing activities, and other operational duties.
- Tax Coordination - Prepare various documents for tax calculations, cost estimate, deregistration, tax form reviews, Place holders and payroll files for Taxable fringe benefits calculations.
- External Vendor - Manage the coordination with external vendors for various global mobility activities, including initiating tax briefings, tax return processing, tax equalization, shadow payroll services, and obtaining certificate of coverage supports.
- Mailbox Management - Management of Centralised inboxes, responding to queries and delegating complex queries to the appropriate team members.
- Data Management- Assist in the collection, organization, and maintenance of global mobility data, conducting data analysis to facilitate informed decision-making processes.
- Documentation – Maintain records and documentation pertaining to operational activities, including the creation of process maps, run books, standard operating procedures (SOPs), workflow charts (using tools like Visio), and other documentation.
- Cross functional Collaborations- Collaborate closely with other operations team members and regional counterparts across EMEA, India, Europe, APAC, and North America to ensure seamless execution of processes and timely resolution of issues.
- Projects Assistance– Support various global mobility projects, ensuring timely completion of assigned deliverables by coordinating tasks and tracking project progress.
- Ad hoc task – Handle additional tasks and projects as delegated by supervisors and senior team members.
- Process Improvement: Identify opportunities for process enhancement and collaborate with team members to implement solutions aimed at improving productivity and streamlining operations.
- Exposure to working in a high-volume SLA [driven Global mobility shared service model is required.
- Bachelor’s degree with minimum 3 years of core experience in executing global mobility processes in a corporate environment is required.
- Exposure to mobility and case management tools like Workday, People Soft, Topia or other related tools is required.
- Understanding the fundamentals of entry procedures, employment regulations, compliance protocols, and tax obligations for remote work arrangements across different global regions for corporate employees is required.
- Strong command of verbal and written communication skill in English is essential.
- Intermediate Microsoft Excel and other Microsoft tools is essential.
- Strong Organizational skills with attention to detail is essential.
- Ability and willingness to work in a globally distributed team and with stakeholders while maintaining strong professional relationships with a focus on employee satisfaction is essential.
- Confident and capable of interacting with employees worldwide to resolve queries is essential. Experience working with professional tax services, such as the Big-4 is preferred.
