Job Title: Administrative Assistant Location: Bangalore Department: Assurance Reports to: Assurance Department Manager Shape Summary As an Administrative Assistant within the Assurance Department, you will provide essential administrative and client support to the Assurance team, ensuring smooth operations and efficient delivery of services. You will work in a hybrid model, with flexibility for remote work (~2x/week) and the remainder of the time working from the office or as required by the team. Shape Essential Functions:
- Proficient in the use of computers, Microsoft Office Suite (Word, Excel, Outlook), and firm-specific software.
- Prepare Adobe documents, correspondence, and other materials for the Assurance Department as needed.
- Scan, log, mail, and/or fax audit confirmations as requested. Follow up on second request confirmations and maintain logs.
- Proof, foot, PDF, and bind financial statements for review and issuance to clients.
- Track all emailed letters and reports via a mail log to ensure the correct date is utilized for lockdown/archive purposes.
- Assist employees working remotely with any in-office needs (such as document management and coordination).
- Provide general administrative support to the team, ensuring timely and accurate delivery of requested materials.
- Cross-train on receptionist duties and other office administrative functions as needed.
- Shape Position Requirements
- Education: Bachelor’s degree or two+ years of related experience in a professional office environment.
- Experience: Experience providing administrative support in a professional or office setting is preferred.
- Strong organizational skills with a keen attention to detail.
- Excellent time management skills and the ability to prioritize tasks effectively to meet deadlines.
- Must be self-motivated, have a sense of urgency, and be team-oriented with a strong work ethic.
- Technical Skills:
- Intermediate proficiency in Microsoft Word and Excel.
- Proficiency in Adobe Suite and Microsoft Outlook.
- Ability to format and prepare professional documents.
- Strong written and verbal communication skills.
- Comfortable working both independently and as part of a team.
- Ability to adapt and be flexible to changing tasks and deadlines.
- Positive attitude and strong problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
