About the post: We are looking for a highly motivated individual for the role of Operations Coordinator within the School of Pharmacy and Biomolecular Sciences. This is an exciting opportunity to experience working in a multicultural and international environment and in so doing, join a growing team working on the International College of Pharmaceutical Innovation, which is RCSI's first Joint Education Institute (JEI) with China. Introducing the International College of Pharmaceutical Innovation: This year marks an exciting new chapter with the launch of the International College of Pharmaceutical Innovation (ICPI)-a groundbreaking collaboration between RCSI and Soochow University in China. ICPI is a beacon of educational excellence, combining the strengths of two world-class institutions to cultivate the next generation of pharmacy, pharmaceutical, and biomedical science professionals. Located on Soochow University's cutting-edge Future Campus, ICPI offers students the unique opportunity to earn dual degrees, awarded by both RCSI and Soochow University. We intend to deliver three programmes, currently running in Dublin in the School of Pharmacy & Biomolecular Sciences (PBS), namely, BSc Pharmacy (BSc Pharm), BSc Applied Therapeutic Technologies (BSc ATT) & MSc Research, all of which commence in September 2024. Our programmes, which have been designed in collaboration with clinical, research and industry experts, will prepare students to better meet the demands of the changing healthcare landscape. The new International College of Pharmaceutical Innovation brings together the best of both universities, merging student-centred education and innovative research to ensure we develop graduates that will succeed in the workplace or in postgraduate research. There is a bright future ahead for the first cohort of students who started in September. Background to Soochow University: Founded in 1900, Soochow University is a research-intensive university ranked in the top 5% of Chinese universities with a strong strategic focus on increasing its internationalisation and its rankings. Soochow University is located in the city of Suzhou in the Jiangsu province and is a short train journey from Shanghai. The Jiangsu province itself is a densely populated (80 million) and industrialised region neighbouring Shanghai. It is considered the most developed of the 22 provinces in China with the bio/pharmaceutical industry a major source of employment in the region. Job Responsibilities Provision of administrative support in relation to the delivery of the ICPI's academic programmes including supporting academic staff, managing programme timetables and managing content on the Virtual Learning Environment VLE (Moodle) including student enrolment, staff training and coordination information on Moodle Provide general administrative assistance with the day-to-day duties that arise, e.g. report writing, managing travel and visas as part of the management of ICPI Assisting with management of cross functional teams including scheduling, attending, and recording of minutes and actions arising for meetings, as well as travel arrangements Ensure the efficient administration of the ICPI by contributing to the development and implementation of work systems & processes and ensuring accuracy and consistency of all administrative processes Updating and maintaining ICPI school records and collating data for reporting purposes Student record management in Quercus: working in collaboration with China-based RCSI colleague (Academic Operations Manager) to manage the student record including ensuring course set-up, student registration & record validation, results management & cross-checking Manage exams & assessment schedule and coordination of assignments in conjunction with China-based Academic Operations Manager using various systems including RISR Assess, Moodle and Quercus Working as a liaison between ICPI and the various support services in the RCSI in relation to ICPI students Coordination of all activities relating to M. TAPMwI (MSc in Technologies & Analytics in Precision Medicine with Industry) including managing applications, interviews, queries from students, open evening planning which includes event management in the CRM system Developing and implementing Standard Operating Procedures for operational processes within the ICPI as appropriate Assisting with the creation, alignment and updating of student policies & procedures between the two universities Managing visits of Chinese delegations to Ireland & Irish delegations to China (i.e. managing the agenda and the calendar of events to ensure the visits go smoothly) Dealing with and responding to correspondence and preparation of documents and presentations Ensuring that incoming queries are handled accurately and in a timely and professional manner General: To maintain and upskill on systems and software tools relevant to the role Maintaining good working relationships with staff, students, internal and external stakeholders e.g. Moodle Vendor Management, IT issue management, JEI Programme Manager, China-based Academic Operations Manager, PBS Operations Team, Academic and Administrative Departments of RCSI as appropriate Support and provision of cover for the other functions in the PBS Operations team as required Undergoing programmes of training and development from time to time Representing the best interests of the ICPI at all times Maintaining confidentiality & diplomacy regarding internal and external relations Performing such other duties and projects as may be required from time to time Knowledge & Experience - (Essential): Very strong organisational and administrative skills with a high level of accuracy and attention to detail Proficient in the use of IT systems & software and using Microsoft Excel to organise and manage data. While knowledge of specific software systems is not required, other than the Microsoft Suite of programs, an aptitude for IT Systems and problem-solving ability would be required Excellent verbal and written communication skills with an effective communication style Strong relationship building and stakeholder management skills Capable of working on own initiative as well as in a team environment and collaboratively with others to maximise individual and team effectiveness Excellent task management skills with a proven ability in establishing courses of action to achieve project objectives and deadlines Display a 'can-do' attitude, be committed to the team and its development; demonstrate enthusiasm and passion for the role An ability to handle confidential information with discretion and appropriate sensitivity Learns quickly and responds effectively to changing needs and circumstances An ability to work at pace and in a fast-paced environment
