Job Purpose: The Admin Manager is responsible for overseeing and managing the administrative operations of the office, ensuring the smooth and efficient functioning of day-to-day administrative activities. This role involves supervising administrative staff, coordinating office processes, managing resources, and supporting senior management with various organizational tasks. The Admin Manager is expected to maintain office efficiency, ensure compliance with company policies, and contribute to a positive working environment. Key Responsibilities & Accountabilities
- Administrative Management:
- Oversee daily office operations, ensuring that all administrative activities are carried out efficiently.
- Supervise administrative staff, including office assistants, clerks, and support personnel, providing guidance and leadership.
- Implement and maintain office procedures, ensuring consistency and efficiency across all administrative functions.
- Resource & Facility Management:
- Ensure the office is well-stocked with necessary supplies and equipment, managing inventory and procurement processes.
- Liaise with vendors and suppliers for office-related needs, such as office furniture, equipment, and maintenance services.
- Coordinate office maintenance, repairs, and health & safety compliances.
- Communication & Coordination:
- Act as a point of contact for internal and external communication, ensuring timely and professional responses.
- Organize meetings, appointments, and travel arrangements for senior management or staff, as required.
- Coordinate office events, meetings, and team-building activities to promote a positive work culture.
- Budget & Financial Management:
- Assist with budgeting for office operations and ensure that expenses are managed within allocated limits.
- Track office expenditures and prepare regular reports for management, identifying areas for cost savings and improvement.
- HR Support:
- Assist in HR-related tasks such as recruitment, onboarding, training, and performance evaluations for administrative staff.
- Maintain accurate records of employee attendance, leave, and other HR-related data.
- Compliance & Documentation:
- Ensure compliance with organizational policies, legal regulations, and safety standards.
- Maintain organized filing systems, both digital and physical, ensuring easy access to records and documents.
- Problem Solving & Continuous Improvement:
- Identify areas for process improvement and contribute to the development and implementation of new systems or tools to enhance administrative operations.
- Handle office-related issues and resolve challenges promptly and professionally.
- Able to attend after work (after working hours) calls and assignments subject to their priorities.
- Proven experience as an Admin Manager or similar role in an office environment.
- Excellent verbal and written communication abilities.
- Knowledge of office management systems and procedures.
- Ability to work independently and as part of a team.
- Familiarity with HR processes and financial budgeting.
- A bachelor’s degree in Business Administration or related field is preferred.
- 10 years of experience or more in Admin Dept or related fields.
- Strong organizational and leadership skills.
- Proficiency in office software (e.g., MS Office Suite, etc.).
- Ability to manage multiple tasks and projects simultaneously.
- Strong problem-solving skills and attention to detail.
- Speaks Arabic & English fluently.
