The Byrne Hotel Group is looking for a Front Office Manager to join the newly renovated and popular 75 room Victoria Hotel in Galway. The Front Office team are the first point of contact for guests and the Front Office Manager will work with the team to provide an exceptional welcome for all our guests and reinforce a strong customer focused approach. This is a hands-on role, working with a very experienced front office team & hotel manager. This role is best suited to a person with experience managing a team and with Front Office experience in a comparable hotel.

Your Responsibilities

  1. Co-ordinate all functions of the Front Office with a hands-on approach
  2. Reinforcing a customer focused approach within the Front Office Team at all times
  3. Work with the Front Office team to ensure all guests have a positive experience by delivering a smooth Check-In and Check-out process
  4. Work closely with other departments to ensure booking information is shared and accurate
  5. Ensure quality of data is maintained within the booking system enabling accurate guest history and sales information
  6. Encourage guest feedback and implement a system for addressing comments to ensure guest satisfaction and continuous improvement
  7. Monitor guest feedback trends, address challenges in service standards. Actively solicit guest opinion by ensuring a strong Front Office presence - meeting guests regularly
  8. Carry out any additional duties requested by management, related to hotel operational activities
  9. Ensuring that the standards of the Hotel are maintained at all times
  10. Liaising with Senior Management on optimising sales and revenue growth
  11. Work closely with Sales on Promotions, Web Providers, Tour Operators and Property Website initiatives
  12. Ensuring that all daily / weekly / monthly reports for the department are completed
  13. To co-ordinate and monitor all group reservation activities and guest cycle
  14. Maximise room and meeting room sales for the Hotel, maximise the rooms yield by practising strong Yield Management & working in partnership with Reservations & Sales Team
  15. Recruit, train, develop and monitor staff in conjunction with the HR department
  16. Prepare rotas for the department in advance considering the business demand and to ensure that sufficient cover is available to meet those needs.
  17. Responsibility for training and development of all staff through use of departmental SOPs.
  18. Ensure that performance appraisals are carried out as and when required.
  19. Attending Management meetings and training sessions as required
  20. Handling general administration duties
  21. Cover Duty Manager shifts as required
  22. Ad hoc projects
  23. Comply with company regulations regarding Fire, Health and Safety, Hygiene, Customer Care and Security.

Experience and skills

  1. Experience in a similar role in the hospitality industry with a track record of people management
  2. Excellent Management, Leadership, Organisation, Time Management and Communication skills essential for the role
  3. Understanding of budgets and revenue with a proven track record of delivering on budgets
  4. Knowledge of Opera or Hotsoft and hotel systems would be an advantage and will be looked favourably on
  5. Excellent knowledge of MS Word / Excel / Outlook.
  6. Excellent communication and interpersonal skills
  7. Communicate fluently in English (written & oral)
