Job Purpose Responsible for warehouse daily operation duties of coordination and ensuring all required documents are in place and compliant with rules & regulations. Duties and Responsibilities Assist the Marine Logistics Manager in day-to-day operations and functions, including: Sea staff engagement and deployment on/off vessels. Assess and identify sea staff with good potential and make recommendations for their specific deployment and promotions. Brief sea staff prior to joining vessels regarding SEMS matters, Charterers’ requirements, and any unique nature of the trade and Port requirements. Control and monitor vessels' daily activities. Control and monitor budgets relevant to the Operations Department. Maintain, control, and monitor Company SEMS, Port, and Charterers' requirements in conjunction with QHSSE Dept. Arrange and deploy Sea Staff for in-house training and externally approved short courses. Carry out annual Vessel Operation Inspection Audits as assigned by the Manager in conjunction with the DPA. Serve as a member of the shore Emergency Response Team for the relevant vessels. Act as an incident investigator if appointed by the Marine Logistics Manager or as required by the Designated Person Ashore. Carry out necessary formalities and documentary requirements with Flag State, Port Authorities, Immigration, and Customs for sea staff signing on/off vessels. Maintain and update an efficient filing system for the Operations Department. Sourcing and appointment of agency with approval from the Marine Logistics Manager. Contact ex-seafarers for redeployment. Sourcing for new seafarers and arranging interviews for senior officers with the respective department heads. Check seafarers’ certificates, including arranging medical check-ups as per Charterer’s requirements. Verify seafarers’ certificate authenticity with the relevant authority and apply for Flag State licenses. Maintain up-to-date seafarers’ personnel files and monitor seafarers’ certificates and documents expiry. Update crew planning/rotation list and crew list. Ensure crew appraisal assessments are conducted, signed, and filed. Manage extensions of crew’s entry passes and ship’s landing passes with Singapore Immigration authority. Handle declarations of immigration clearances and outward port clearance. Update crew articles, including sign on/off via MPA Marinet. Qualifications and Requirements At least a Diploma in Logistics Supply Chain Management or Business Studies. Expertise: 3-5 years working experience in Marine lubricant logistics supply operations. Knowledge: Port operations and shipping & transport coordination. Skills: Proficient in Excel, planning, scheduling, and marine deliveries to vessels. Working Conditions 5.25 working days per week, but may be subject to overtime and working during weekends and holidays. May work in a stuffy, noisy, and dusty environment. Occasional travel out of Singapore may be required. Mandatory wearing of appropriate PPE when on duty. #J-18808-Ljbffr
