YAP MEDIA NYC is hiring a Senior Ad Operations Specialist to lead the development of our AdOps Department. In this role, you will manage our ad inventory, provide accurate impression forecasts for the sales team, oversee campaign performance to optimize delivery, and ensure timely reports for our advertisers. In just two years, YAP Media has become one of the top networks for business and self-development podcasts, securing sponsorship deals with major brands like Airbnb, LinkedIn, Shopify, the International Olympic Committee, and more. To support this rapid growth, we are seeking a smart, proactive, and data-driven Senior Ad Operations Specialist to ensure the successful delivery of our growing number of campaigns. You will be ultimately responsible for the successful delivery of all impressions sold. To succeed, you'll need to think strategically to optimize performance, communicate professionally with advertisers, maintain strong attention to detail in forecasting and reporting, and effectively lead a growing team. - Impression Forecasting : Use data from Megaphone and Flight Path to provide accurate, real-time impression forecasts so our sales team can sell with confidence. Work with the Flight Path vendor to ensure they have accurate data to optimize forecasting models for individual podcasts.
- Inventory Management : Maintain thorough and accurate documentation on podcaster fill rates, campaign availability, etc. Forecasting tells us how many impressions are available; inventory management tells us how many unique ad placements are available.
- Catalog Maintenance : Update our network catalogs on a monthly basis so all stakeholders can easily find up-to-date information about our podcasts and their impression counts.
- Team Management : Supervise two direct reports who are responsible for the day-to-day execution of our campaigns. They will set up new campaigns, make sure podcasters have the necessary information to complete their deliverables, upload the necessary creatives, etc., all under your supervision.
- Campaign Optimization : Proactively review all upcoming and active campaigns to flag problems before they arise. Adjust campaigns where necessary to maximize impressions delivered and avoid under-delivery. Maximize revenue by proactively flagging where advertisers can increase spend, suggesting run-of-network campaigns, and offering fire sales when available.
- Reporting : Send reports to advertisers as campaigns are completed. Your direct reports will prepare the reports on your behalf, but you will be responsible for the accuracy and timeliness of all reports.
- Client Communications : After sales have booked a campaign, you will become the primary point of contact for advertisers for all Megaphone-related campaigns until they’re complete. You will provide updates on campaigns, make recommendations for changes when necessary, deliver final reporting, and answer any questions about campaign status and delivery.
- Podcaster Evaluation & Onboarding : When evaluating new podcasters who want to join our network, you will audit their podcast and provide initial impression estimates for us to gauge their sales potential. Once a podcaster has signed, you will be responsible for getting them set up on Megaphone, preparing their account to run campaigns, and providing recommendations to sales about how/when to sell their first campaigns.
- Vendor Relationship Management : Be the primary point of contact for all AdOps-related activities for vendors such as Megaphone and Flight Path.
- Process Development : Work with the COO to standardize processes and develop SOPs for new team members on how to use Megaphone, Flight Path, HubSpot, etc.
- Campaign Delivery : 90% of campaigns deliver 100% of the impressions scheduled at the start of the campaign.
- Inventory Accuracy : Inventory documentation and catalog information are accurate at all times.
- Reporting : Reports are sent within 5 days of campaign completion for all campaigns.
- New Podcaster Campaigns : 100% of a new podcaster’s first 5 campaigns deliver 100% of booked impressions.
- Client Communications : All advertiser/publisher inquiries are answered within 1 business day. Take over as the point of contact for all Megaphone-related campaigns within 60 days.
- Process Development : Develop a standard process for evaluating run-of-network and fire sale opportunities on a monthly basis.
- Revenue Maximization : Make recommendations for at least 3 campaigns where impressions can be increased, with at least 1 resulting in a budget increase from the advertiser.
- 3 to 5+ years of experience in an AdOps role.
- 1 to 2+ year of experience in the podcast industry.
- Available to work Monday through Friday until at least 3:00 PM ET.
- Experience with Megaphone. We will consider candidates who have experience using similar platforms, but prior Megaphone experience is highly preferred.
- Good with Numbers: Thrives working with numbers, data, spreadsheets, charts, and numbers driven operations.
