Nursery Coordinator
The Nursery Coordinator is to provide effective and efficient coordination and administrative support services to all staff, parents, and government parties. Responsible for the efficient day-to-day running of the entire operations at the nursery under the supervision of the Nursery Manager.
MAIN DUTIES:
Nursery Children Care
Ensure that the British Curriculum (EYFS) is being followed and implemented by following up on the teachers' fulfillment of weekly activities and plans, in collaboration with the Nursery Manager.
Communicate with the parent if you or the nurse notice the child is sick to ensure adherence to the Health policy.
Encourage thinking, reasoning, and self-expression.
Have frequent and positive interactions with children while supervising, and accept/respect children's questions. Listen to children with attention and respect.
Know children well, being aware of medications, allergies, food intolerances, etc.
Be aware of the presence or absence of all children while supervising.
Be attentive and loving to children - smile and offer support when needed. Respond to children's ideas and suggestions.
Listen and respond respectfully to parents and colleagues and respect cultural diversity.
Ensure smooth operation of the classes, intervening to stop teasing and rejection due to race and/or physical characteristics.
HR & Admin
Ensure accurate records of all information on the children in soft and hard copy, including signed payment policy, completed and signed registration forms, invoices, and updates to the customer report and data sheet file.
Ensure parents fill all pre-registration and registration forms and sign all mandatory documents. Provide copies to parents.
Ensure employees' and officials' documents in soft and hard copies are up to date and completed. Communicate with the head office before any document expiry.
Update the ministry file and ensure proper implementation of government guidelines, sending files and communicating with inspectors as required.
Ensure completeness of staff HR files and communicate all of their requests to the HR department. Keep track of staff attendance and leave requests and communicate with the head office.
Ensure cleanliness, maintenance, sanitizing, and proper hygiene levels, conducting frequent checks of the nursery.
Keep inventory of all supplies and order before they are finished.
Avoid unnecessary conversations with team members while supervising children and provide support if required.
Report all incidents to ensure documentation of issues and solutions applied.
Ensure fire safety elements are implemented, conducting drills as per ministry regulations.
Monitor the nurse's and guard's performance, providing feedback to the nursery manager. Ensure nursery staff meetings are held weekly.
Control and ensure the adequate utilization of nursery assets, updating the list periodically and informing the nursery manager of any damaged or missing items.
Work with the nursery manager to update Basecamp and prepare required reports for management.
Marketing & Communication
Responsible for the smooth running of daily operations in the nursery, including classes and staff shifts.
Welcome parents, children, staff, and other members of the public. Manage feedback and respond to inquiries professionally and timely, following marketing department guidelines.
Communicate with inspectors to ensure all government-related reporting and documents are completed correctly and on time.
Communicate with senior management for urgent requests, following communication protocols and reporting lines.
Collaborate with the marketing department and nursery manager to plan marketing activities, collaterals, digital marketing, and customer follow-up.
Ensure communication with suppliers is according to agreements and in line with head office guidelines.
Finance
Assist the manager in preparing the yearly budget, planning nursery operations and development requirements.
Assist in planning activities and expenditures in accordance with the approved budget. Manage petty cash as per policy.
Confirm and communicate any fees, billing matters, and revenue to external or internal parties.
Ensure timely payment of suppliers.
General
Be flexible in job assignments and cooperative with team members and the leadership team.
Competencies and Qualifications
Qualification, Education, and Certification:
BSc/BA in education, business, communication, or equivalent.
Mandatory proficiency in English; Arabic knowledge is an advantage.
Minimum three years experience in the early years education field, preferably in Qatar.

Professional attitude and appearance at all times.
Working knowledge of Qatar laws and regulations in early years education.
Proven experience in early years education, particularly in nurseries and preschools within Qatar.

All children's files are up to date and completed.
All employees' files are up to date and completed.
Employees are well-groomed and professional looking (wearing uniforms, hair neatly tied, nails clipped and maintained, makeup is natural).
All assigned reports are filled correctly and submitted to the manager for approval on time.
All parent inquiries are replied to in a highly professional manner within the defined time frame.
Potential to customer transition ratio 1:2.
Reporting Relationship
Reports directly to the Nursery Manager.
Reporting Authority
Directly responsible for staff as assigned.
Experience
At least 3+ years on the same level with a proven track record. A bachelor's degree in education, management, marketing, or any other applicable field.
Professional Development
Maintains relevant knowledge by attending necessary training annually to stay current in the professional area.
Maintains First Aid and CPR certifications.
Maintains minimum required training hours for childcare workers/teachers.
Maintains mandatory Child Abuse Reporting Training.
Essential
Clear ability for children and parent management.
Ability to manage and work as part of a team as well as independently.
Close attention to detail.
Outstanding English and Arabic communication, both verbal and written.
