For over 160 years, we’ve been a trusted charitable organization committed to social justice and community welfare. Now, we’re looking for an Executive Assistant to help our CEO and Senior Leadership Team continue this important work. This role offers a unique opportunity to support senior leaders while playing a key part in driving impactful community outcomes. The Role As the Executive Assistant, you’ll be at the centre of the CEO’s office, ensuring smooth day-to-day operations and providing high-level support across a range of critical functions. You’ll manage schedules, coordinate meetings, prepare executive reports, and oversee key projects, ensuring that the leadership team can focus on the Society’s mission. Your ability to balance multiple priorities with grace, professionalism and confidentiality will be crucial to the success of this role. Your Key Responsibilities Will Include:
  • Managing the daily operations of the CEO’s office, including scheduling, correspondence, and stakeholder communication.
  • Supporting the Senior Leadership Team with meeting coordination, minute-taking, and following up on action items.
  • Preparing executive papers, reports, and high-level presentations.
  • Acting as the liaison between internal teams, government departments, and external community service partners.
  • Coordinating travel arrangements, events, and off-site meetings.
  • Maintaining strict confidentiality while managing sensitive information.
  • Identifying and implementing process improvements to boost administrative efficiency.
What We’re Looking For We’re seeking an experienced and resourceful professional with a passion for supporting leadership and a commitment to social impact. The ideal candidate will possess:
  • A tertiary qualification in Business Administration or Law (or equivalent).
  • Proven experience providing executive support in a dynamic environment, preferably within the not-for-profit sector.
  • Proven ability to understand, and or draft legal documents.
  • Exceptional organizational skills, with the ability to juggle multiple deadlines and priorities.
  • Strong written and verbal communication skills, able to engage effectively with a diverse range of stakeholders.
  • Proficiency in MS Office Suite (Word, PowerPoint, Excel, Outlook) and experience in project coordination (SharePoint experience is a plus).
  • A proactive, solutions-focused mindset with the ability to work independently.
  • High emotional intelligence, professionalism, and discretion.
