Nature of Work: The Operations Manager is a pivotal role at The Business Toolkit, overseeing daily operations, optimizing workflows, and ensuring seamless execution of projects and services. This position requires strong organizational skills, leadership in managing teams, and a strategic mindset to drive operational efficiency. As the bridge between the CEO and various departments, the Operations Manager will manage project timelines, implement process improvements, and monitor team performance, ensuring all company functions align with The Business Toolkit’s goals. Must Haves Fluent/Native English Critical thinking and solution-oriented Eager to learn and improve operational processes Roles and Responsibilities: Operational Oversight: Coordinate daily operations, ensuring all teams meet deadlines and work efficiently. Oversee multiple projects, aligning resources and managing priorities to maximize productivity. Team Management: Supervise and support over 100 team members across departments, maintaining effective communication and workflow. Collaborate with department heads to enhance employee engagement and address performance issues promptly. Process Optimization: Analyze existing workflows, identifying areas for improvement to streamline operations. Implement new procedures and tools to increase efficiency and reduce operational costs. Project Management: Manage end-to-end project timelines, ensuring resources are allocated efficiently and deadlines are met. Work with project leads to mitigate risks, resolve issues, and keep projects on track. Quality Assurance: Maintain high standards across all deliverables, implementing quality checks to ensure compliance with company standards. Address any performance or quality issues swiftly to maintain client satisfaction. Client Relations and Problem Resolution: Act as a point of contact for high-value clients, managing escalations and resolving issues effectively. Foster positive client relationships by ensuring operational excellence and adherence to service promises. Budget and Resource Allocation: Assist in budgeting and resource planning, ensuring alignment with company financial goals. Monitor expenses to optimize resources and control costs across operations. Team Coordination and Onboarding: Oversee onboarding for new hires, ensuring they are integrated seamlessly into their roles. Facilitate training sessions to enhance team members’ skills and operational knowledge. Strategic Planning and Execution: Collaborate with the CEO to develop and implement strategies for operational growth and scalability. Provide insights into decision-making processes, aligning operations with business objectives. Policy Implementation and Compliance: Ensure company policies are adhered to across all departments, maintaining compliance with internal and external guidelines. Regularly review and update policies to reflect industry best practices and company goals. Performance Monitoring and Reporting: Track and analyze operational KPIs, preparing reports for executive leadership to inform strategic decisions. Conduct regular performance reviews and ensure consistent feedback is provided to team members. After-Hours Support: Be available for occasional after-hours support, especially during high-demand periods or critical projects. Adaptability and Problem Solving: Tackle unexpected operational challenges with resilience and a proactive mindset. Adapt quickly to changes, demonstrating flexibility in managing dynamic project needs. Skills and Qualifications: Educational Background: Bachelor’s degree in Business Administration, Operations Management, or a related field is preferred. Experience: Proven experience as an Operations Manager or similar role in a fast-paced environment. Strong track record in overseeing large teams and multiple projects. Organizational and Project Management Skills: Exceptional organizational skills with the ability to multitask, prioritize, and execute efficiently. Proficiency in project management tools like Asana or similar platforms. Problem-Solving Abilities: Ability to think critically and resolve operational challenges with minimal oversight. Communication Skills: Strong verbal and written communication skills, with a focus on clear, confident decision-making. Tech Proficiency: Proficiency in Google Workspace, Asana, and Microsoft Office Suite. Familiarity with AI tools like ChatGPT is a plus. Budget Management: Experience in budgeting and resource planning, with a strong grasp of cost-control measures. Assertiveness and Attention to Detail: Proactive, detail-oriented, and assertive, ensuring no task is overlooked.
