Position Summary:
We're seeking an experienced Personal Assistant to support our CEO, managing their schedule, communications, and administrative needs. The ideal candidate will anticipate needs, handle details confidentially and professionally, and work closely with the executive to achieve organizational goals.
Key Responsibilities:
1. Calendar and Schedule Management
- Coordinate complex scheduling, internal/external meetings, events, and travel arrangements.
- Ensure up-to-date schedules and effective meeting planning.
- Manage executive communications (calls, emails, messages) professionally and carefully.
- Draft, edit, and review correspondence, presentations, and reports.
- Arrange travel plans (flights, accommodations, transportation, itineraries).
- Organize company events, meetings, or client gatherings.
- Assist with key projects, tracking progress, timelines, and deliverables.
- Conduct research, gather data, and prepare reports/presentations.
- Organize and maintain documents, files, and records.
- Handle confidential documents, ensuring security and compliance.
- Track executive expenses and prepare expense reports.
- Assist with budget tracking and resource allocation.
- Build and maintain strong relationships with internal/external stakeholders.
Qualifications:
- BSc/HND in Business Administration, Communications, or related field
- 2 years of experience as an executive assistant or similar role supporting senior leadership.
- Excellent organizational, multitasking, and time management skills.
- Strong written and verbal communication skills.
- Proficient in office software (Microsoft Office, Google Workspace).
- Ability to handle confidential information with discretion.
- Professional demeanor and proactive attitude.
- High integrity and professionalism.
- Strong attention to detail.
- Ability to work independently and adapt to changing priorities.
