- Delivering a of high-quality front-of-house service including welcoming visitors to the office, responding to questions, answering callers' queries, and redirecting them as required. This also involves managing post, courier deliveries and dispatch, as well as maintaining the presentation of the front of house area.
- Conduct of Office Walkthroughs which involve reviewing the ongoing quality and safety of office environment, report and follow-up on any office maintenance or cleaning issues discovered, and organizing contractors in support of construction or repair work as required.
- Supporting the day-to-day organization of Office Mgmt. support staff, drivers, vendors as directed. Also supporting the execution of office moves and relocations.
- Day to day management of office suppliers, supporting payment management as required (invoicing and recharges). Management of deliveries and payment & reconciliation of petty cash.
- Purchasing of supplies for RHQ and wider Mace Programmes including printing, stationary, pantry supplies, HSE PPE, and other office requirements, and preparation of POs, review and approval of subsequent invoicing.
- Supporting the delivery of RHQ and other team events & provision of day-to-day admin support to Mace RHQ LT.
- Supporting the employee exit process by tracking the prompt return of company assets.
- Day to day administration of RHQ/Mace carpool including maintenance of booking tool - organisation, and coordination of drivers, Invoice review and calculation of recharges to Mace Programme budgets and Organizing car maintenance and cleanliness.
- Supporting the provision of Mobilization Logistics Services for new joiners to Mace Arabia including managing bookings, cancellations, updates for flights and accommodation (International & Domestic), arranging arrival welcoming services and coordinating first-day transport services. Additionally, it involves managing data to ensure accurate reporting and recharging of costs associated with the above referenced services
- Necessary visa criteria for the Kingdom of Saudi Arabia and have relevant work experience working on high valued projects/ programmes for a project management consultancy business, which are required for immigration and client approval.
- Relevant experience in an administration role.
- Relevant bachelor's degree (or equivalent).
