DescriptionISP Registrar Role Profile - Dubai CampusPurpose of RoleISP is seeking a Registrar for one of our Dubai Schools. In this pivotal role, you will lead the registration process for new student enrollments, ensuring all requirements are meticulously met. The ideal candidate will engage actively in the daily operations of our vibrant school community and exemplify positivity and efficiency as a role model for both staff and families.Your responsibilities will also include promoting our school to reinforce its standing as the preferred choice for families in the area. As the primary liaison with KHDA authorities, you will play a critical role in maintaining compliance and fostering strong relationships. Additionally, you will ensure that the iSAMS system is up-to-date and accurately reflects all essential information. Getting better is what drives us.Key ResponsibilitiesEnsure the school educational permit and other requirements of the local regulatory authority are met.Follow-up on outstanding offers via HubSpot.Liaise with finance and admissions to follow up on registration deposit payment.Maintain the tracking sheet for all required documents from new families.Liaise with the Heads on starting dates for new children.Lead the process for re-enrollment and provide regular updates to SLT, Head of Admissions, and ISP Regional Admissions Team.Ensure the school has relevant documentation for each pupil.Manage the school's pupil database - iSAMS including templates and communication.Ensure compliant and timely submission of pupil records to and from KHDA.Manage the relationship of enrolled families until they join.Support Admissions as required, where it does not interfere with core duties.Work with school leadership to maintain documents relating to admissions issues and pupils who are leaving.Assist with organizing in-house or off-site activities for the school community.Maintain a visible, professional profile within the school.Support the day-to-day running of the school.Liaise with KHDA and other regulatory authorities to ensure compliance.Support the Head of inclusion with SEN requirements/documentation with KHDA.Ensure the leaving processes for children are met as per school policy and KHDA regulations.Ensure accurate reconciliation between both databases on KHDA and iSAMS.Report to the ISP Regional Office on school re-enrollments and leavers.Deputise for the Admissions Team during sickness and vacation periods as required.Health and SafetyTake all necessary and reasonable precautions to protect students, equipment, materials, and facilities.Assist in implementing all policies and rules governing student life and conduct.Ensure that all necessary health and safety rules and procedures are being followed.Maintain an awareness of all health and safety measures to be taken when in school.Employees will be expected to comply with any reasonable request from a manager to undertake work of a similar level that is not specified in this job description.Hours of Work7:45 am to 4:30 pm Monday to Thursday and up to 12:00 pm on Fridays; with occasional evening and holiday work.Holidays45 calendar days per academic year.Skills, Qualifications and ExperienceFriendly, approachable, professional, discreet, and knowledgeable.Ability to speak clearly, concisely, and effectively in both English and Arabic.Ability to plan, organize, and prioritize time and workload.ISP Commitment to Safeguarding PrinciplesISP is committed to safeguarding and promoting the welfare of children and young people and expects all staff and volunteers to share this commitment.ISP Commitment to Diversity, Equity, Inclusion, and BelongingISP is committed to strengthening our inclusive culture by identifying, hiring, developing, and retaining high-performing teammates regardless of demographic characteristics.
