About the job Office Operations AssociateYour RoleAs an Office Operations Associate, you will be responsible for ensuring the smooth functioning and efficiency of daily office operations. You will play a crucial role in supporting various departments and maintaining a productive work environment. Your primary responsibilities will include administrative tasks, facilities management, and coordination of office activities.
Administrative Support:Keeping the lights on
Liaison with relevant government institutions and foster professional relationships.
Maintaining the Tasks sheet for the office operations and ensuring their timely completion
Coordinating with Internal Operations departments such as Accounts, HR, and IT to ensure smooth operations
Broadcasting updates timely on Slack and Emails for time-sensitive projects
Making comparative Google sheets for product selection and soliciting quotes for informed decision-making.
Providing support to the employees
Handling the purchasing and contracting efficiently to reduce the chances of leakages and wastage of funds
Creation & enforcement of SOPs and ensuring the job is executed, end to end, according to the laid out company policies
OPEX Tracking
Developing training regimes for the office auxiliary support staff and running capacity-building activities
Ensuring the office equipment is functional and operational at all times
Inventory management and optimization of space usage.
Improving the aesthetics of the office space
Supervising the maintenance of Office vehicles
Assisting in payroll as needed, for the office administration team.
Observe and report on support staff performance to ensure fair distribution of increments and bonuses
Ensuring that the Quality of Food is at par and the cooking is carried out according to the company's set standards
Assisting in Infrastructure expansion and maintenance having close linkage with the Infrastructure team
Syncing with the Logistics Department to ensure smooth delivery of imported hardware to the workplace
Knowledge and SkillsGreat Problem-solving embedded with ownership of task/work.
Strong computing skills with the ability to pick up new concepts and tools easily.Major Requirements : Google Sheets, Google Docs, Google Slides, Excel, ERPs.
Proven ability to multitask and manage conflicting priorities in a pressurized environment.
IT Level 3 Troubleshooting Skills (Wiring, setting up workstations, attaching/detaching accessories).
Results-oriented with excellent communication and interpersonal skills.
Able to build relationships and work effectively with others at all levels across the business in person, by phone, and via email, including proven experience interacting directly with end-users.
Experience in payment processing systems. Know-how with different Bank Portals.
