Coordinator Administration, Network of Quality, Teaching and LearningEntityLocationIntroductionThe Network of Quality, Teaching and Learning (QTL_net) is a global network that was set up with the aim of supporting excellence in our academic programmes, to ensure a strong student learning experience, that enables AKU graduates to meet their programme learning outcomes. QTL_net offers a safe and inclusive space, where faculty can take advantage of a range of services, resources, and programmes on teaching excellence and scholarship of teaching and learning.
ResponsibilitiesAs part of a Global Team, Reporting to the Executive Officer (EO), Network of Quality, Teaching and Learning (QTL_net), with dotted lines to the three Team Directors, you will be responsible to:
support the QTL_net team, especially in Pakistan, with logistical and administrative matters, including all blended and onsite QTL_net seminars, training, workshops, etc
set up and coordinate internal and external QTL_net meetings, as well as record minutes of meetings where needed, along with relevant and required follow-ups with stakeholders
coordinate with QTL_net and finance to process all payments per financial policies, including raising MSR, PR, and ROPs online as requested and needed
organize and coordinate local and international travel, tickets, accommodation, transport, etc., required for QTL_net members and other guests visiting Pakistan for various QTL_net activities
upload and update the content provided by the QTL_net team members on the official department website under EO's supervision
take initiative in designing using Canva and other tools for any network graphics as needed
assist EO in drafting and sending internal and external correspondence for events and communications like quarterly magazines, important announcements, and promotional content
follow up with the team to keep track of and maintain Office supplies and stationery, QTL_net, assets database, and pictures repository
coordinate logistics for the University Improvement Programme (UIP) in liaison with the Senior Coordinator
support the QTL_net team for catering/ NSDF requests, room bookings, PA systems, AV Services, etc
help update, clean, and maintain the QTL_net database and analyze data with basic graphs
coordinate with the support services department for team members, including HR, Finance, Purchase, Warehouse, Facility Management department, etc, for any related issues and assignments.
RequirementsYou should have:
at least a Bachelor's degree
five or more years of experience working in an administrative position
proficiency in Word, Excel, PowerPoint, Website, and other design tools
the ability to build and maintain constructive relationships with colleagues in different departments of an organization
experience in coordinating local and international meetings/events (remotely and on-site)
strong organizational and administrative skills
team player attributes along with good communication skills
proficiency in knowledge of English and Urdu (spoken and written)
