Responsibilities

  1. Ensure that all office operations are conducted in an appropriate manner as well as responding to urgent situations when they occur.
  2. Initiate the handover checklist for the new offices and finalize the transition process with the operations team.
  3. Supervise contractors and vendors involved in services like maintenance, janitorial work, food services, parking management, technical support, IT, etc.
  4. Ensure that all office operational requirements are fulfilled in accordance with the established guidelines and standard operating procedures (SOPs).
  5. Coordinate staff relocations in collaboration with logistic and technical teams, ensuring alignment towards a common goal.
  6. Manage the day-to-day operations of all office buildings.
  7. Guarantee comprehensive readiness of the offices in all aspects, including aligning with Facilities Management, Safety, IT, Security, Soft Services, and promptly communicate any issues to the relevant stakeholders.
  8. Establish effective communication with customers to elevate their satisfaction levels.
  9. Supervise all raised maintenance and service tickets, collaborating with stakeholders such as the Facility Management team, Housekeeping, Hospitality, IT & Projects team to expedite process execution and ensure proper closure within the SLA (Service Level Agreement).
  10. Support in the procurement procedures and raise the PR/PO to ensure full compliance with the company policy & procedures.
  11. Oversee minor work orders and ensure timely and proper execution.
  12. Resolve the complaints raised that belong to office services.
  13. Ensure providing exceptional service levels to all office occupants.
  14. Facilitate the access permissions for visitors and coordinate with the security concerned team.
  15. Perform daily inspections/HSE (Health, Safety and Environment) observation of the offices and complete the checklist/assessment.

Requirements

  1. Bachelor's degree in business management, Facilities Management, Engineering, or relevant degree.
  2. Minimum 4 years of experience in office services or facility management or any relevant field.
  3. Ability to work in a challenging and changing environment and work with ideas.
  4. Team player with organizational and planning skills.
  5. General knowledge and orientation in office services and facility management.
  6. Basic knowledge of space management.
  7. Excellent time management skills and ability to multi-task and prioritize work.
  8. Proficient in MS Office and SAP systems.
  9. Exceptional communication skills.
  10. Highly customer-focused.
