Job Summary / Role Description

The HR Coordinator acts as the first point of contact for Management & Employees for all HR related questions and supports and advises various functions at the Site on a remote location in close collaboration with the HQ HR teams based in Milan as well as branch office in Abu Dhabi.

Duties and Responsibilities

  1. Ensure the management of the Human Resources is performed in compliance with the standards and policies of the Employer, and the applicable provisions of the UAE labour and tax laws.
  2. Manage day-to-day HR operations and ensure all HR workflow processes run smoothly.
  3. Maintain employee files and paperwork and ensure all the documents are aligned with the local legal requirements and updated regularly based on organizational changes.
  4. Implement and maintain up-to-date, functional onboarding system.
  5. Support recruitment and selection process.
  6. Collate and execute monthly payroll with support of the payroll management provider.
  7. Ensure that the payslips are prepared, and payments are made in an accurate and timely manner.
  8. Manage the process of redundancy, grievance and discipline investigations, hearings, and sick absence issues.
  9. Ensure that work visas and other permissive documents are obtained in accordance with the Company's needs and in accordance with the regulatory requirements.
  10. Generate and update a reporting system on the status of the immigration process.
  11. Ensure smooth logistic operations such as organization of travels for employees, as well as meet and greet for departures and arrivals, local transportation in compliance with the Company's rules.
  12. Ensure the HR systems are properly and timely populated and provide regular and ad-hoc reports for the needs of the Headquarters and the project.

Knowledge & Qualifications

  1. University Degree or Diploma in a relevant discipline or equivalent.
  2. Sound knowledge of compensation and benefits packages.

Experience

  1. Strong HR generalist experience.
  2. Minimum 7+ years of experience in Human Resource discipline.
  3. Working in an international and matrix organization is highly required.
  4. Strong hands-on and can-do attitude, result-driven and influencing skills.
  5. Strong communication skills – ability to work alongside the senior management team as well as the wider business.

  1. Fluent English.
  2. Excellent IT and analytical skills.
  3. Excellent communication, team-oriented and interpersonal skills.
  4. Attention to detail.
  5. Self-motivation and direction, with a strong bias toward timely performance and problem resolution.
