Purchasing, Procurement & Inventory (Manufacturing, Transport & Logistics) Responsibilities:

  1. Ordering, processing, and ensuring the correct specifications and shelf life of materials:
    • Responsible for the timely and accurate procurement of materials based on production and project requirements.
    • Ensure materials meet specified quality standards and have the correct specifications and shelf life.
  2. Liaising with Quality Assurance Department and Production Department on deciding on quality and suitability of materials:
    • Collaborate with Quality Assurance and Production departments to assess material quality and suitability for production processes.
    • Ensure materials meet quality standards and comply with regulatory requirements.
  3. Analyse the issues pertaining to incoming material quality:
    • Analyze and address issues related to the quality of incoming materials.
    • Implement corrective actions to resolve quality issues and prevent recurrence.
  4. Evaluate supplier performance based on quality standards, delivery time, and best prices:
    • Monitor and evaluate supplier performance to ensure they meet quality, delivery, and pricing expectations.
    • Maintain supplier relationships and address any performance issues promptly.
Secondary Roles and Responsibilities:
  1. Assist in initiating emergency procedures and recall activities:
    • Support the Procurement Manager in initiating emergency procedures and coordinating recall activities.
    • Ensure timely dissemination of recall details to department heads and compliance with governmental requirements.
  2. Assist in continuously developing, reviewing, and monitoring the effectiveness of company policies, procedures, and control framework:
    • Contribute to the development, review, and monitoring of company policies, procedures, and control frameworks.
    • Provide input for continuous improvement initiatives based on research and internal feedback.
  3. Assist in supply planning, negotiating storage agreements, and monitoring vendor performance:
    • Support supply planning activities, including forecasting, negotiating storage agreements, and monitoring vendor performance.
    • Collaborate with planning and operations teams to ensure deadlines and KPIs are met.
  4. Assist in internal audits and ensure Procurement Department compliance:
    • Participate in internal audits to assess Procurement Department alignment with company objectives and accreditation standards.
    • Implement corrective actions and improvements identified during audits.
  5. Preparing and maintaining accurate records of goods ordered and received, managing purchasing department budgets:
    • Maintain accurate records of procurement activities, including goods ordered, received, and budget expenditures.
    • Manage purchasing department budgets and ensure cost-effective procurement practices.
  6. Overseeing the purchase of materials in coordination with requestors and suppliers:
    • Supervise and coordinate the purchasing of materials in collaboration with requestors and suppliers.
    • Facilitate effective communication and coordination to meet material requirements efficiently.
Minimum Qualification and Requirements:
  1. Educational Background:
    • Bachelor's degree in Business Administration, Supply Chain Management, Food Science, Biotechnology, or equivalent.
  2. Experience:
    • Demonstrated 2-3 years experiences in procurement roles to ensure familiarity with procurement processes and practices.
  3. Skills:
    • Possess at least 5 years of working experience in the related field, preferably in a GMP environment.
    • Candidates familiar with FSMS/HACCP/ISO and Quality Management knowledge in food manufacturing environment will have an added advantage.
  4. Proficiency in monitoring systems and Microsoft Office:
    • Familiarity with procurement software and systems such as ERP systems, and a good knowledge of Microsoft Excel.
  5. Communication:
    • Good communication skills and fluency in written and spoken English, Bahasa Malaysia, and Mandarin.
    • Excellent negotiation, communication, and interpersonal skills, as well as strong analytical and problem-solving skills.
  6. Ability to work independently and as part of a team:
    • Detail-oriented with a focus on quality and efficiency.
