The Role The Administration Manager is responsible for supporting the execution of the NIO strategy by supervising administrative staff, ensuring compliance with industry regulations, and supporting the overall business functions to enhance efficiency and customer satisfaction. Key Responsibilities
- Recruitment, training and supervision of administrative staff, ensuring they have the necessary skills and knowledge to perform productively and efficiently.
- Conduct regular performance reviews and provide ongoing training and development opportunities.
- Foster a positive working environment and address concerns promptly.
- Vehicle invoicing and registration management, ensuring strict compliance and adherence to company policies.
- Support the finance department in managing accounts receivables, collections, and payments.
- Accurate document processing for invoicing Bank and Insurance partners (Approved Bank and Insurance companies).
- Support financial audits and implement corrective actions as required.
- Schedule and oversee routine inventory stock count and reconciliation.
- Prepare and submit all required reports (internal and external) on sales, aftersales, and logistics for regulatory bodies, partners, suppliers, and internal stakeholders.
- Maintain up-to-date knowledge of industry best practices and regulations.
- Comprehensive and accurate record keeping.
- Ensure data security and integrity within all administrative systems.
- Train staff on the use of technology and troubleshooting any issues.
- Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
- Monitor costs and expenses to assist in budget preparation.
- Oversee facilities services, maintenance activities, refurbishment, Office licenses, etc.
- Strong knowledge of Sales process, F&I, structure, systems, and methodology.
- Ability to performance manage administrative and support staff.
- Strong motivation and leadership skills.
- Understanding of Auto Sales Processes ( dealer level UAE ).
- Strong quantitative and analytical skills and PC proficiency.
- Languages: Fluent English. Arabic is an Advantage.
- Training execution as directed by the Operational Manager in line with TNA action plans.
- Showroom experience and knowledge.
- A solid understanding of the automotive end-to-end sales process.
- Previous management experience is a MUST.
