The ideal candidate will be comfortable outlining and planning all aspects of work related to a given project such as budget, timelines and teams. They will have strong communication skills that enable them to effectively communicate with all relevant teams. This individual should be able to foresee any problems related to the completion of a project and act in a timely manner to mitigate any issues.   Responsibilities

  • Servicing clients with goodwill, enthusiasm, ethically, with complete honesty.
  • Making and updating SOP of any new process introduced.
  • Learning the SOP of each program and following the same.
  • Onboarding a new client or partner only post-signs a written agreement and provides them a road map from first step to the end. Setting expectations & delays in advance.
  • Managing the start to end placement process of all countries & clients including documentation, drive maintenance, etc.
  • Maintaining a google sheet created for each program with student details.
  • Maintaining monthly invoices, receipts and sending it to the Business Development Manager.
  • Uploading documents regularly on drive and renaming them.
  • Creating a drive for each student for records of all documents & receipts under specific country.
  • Resume writing and uploading resume in the respective drive.
  • Assisting the Placement Manager to conduct Mock & Live Interviews, to better prepare students.
  • Organizing & Taking Mock Interviews if required, storing & timely deletion of the recording. Detailed feedback post Mock Interview should be emailed to each student.
  • Maintaining all correspondence strictly via email.
  • Coordinating with the French Language Expert to send French login details.
  • Inform the student of weekly live class and ask the French Language Expert to include the student. Reminder calls to the student for the weekly live class. 
  • Continuously coordinating with clients & partners all throughout the process: reminders, updates twice a week on on-going tasks.
  • Ensure to collect continuous updates from the Placement Manager/ Partner on the placement of each student.
  • Making Proposals, Convention de stage, NOC and other docs required by the Placement Manager.
  • Send an acceptance of the student to the Placement Manager & ask for the signed Convention de Stage.
  • Send sample insurance copy & assist with insurance and put them in touch with external vendors if required/asked for assistance.
  • Reminder for PCC & constant check-ins on their progress with FLUENTZEA & requests/queries.
  • Follow-up with the French Language Expert on the progress of students on FLUENTZEA.
  • Collaborate with the French Language Expert to arrange a test for assessing student’s French language skills.
  • Coordinating with partners regarding student’s updates & documentation.
  • Get the DREETS approval from the Placement Manager and store the approval in the student’s drive.
  • Follow up for student’s documents and careful scrutiny of all documents.
  • Send visa documents to non-Francophone country partners.
  • Send a mail to the visa partner with the visa documents received from the student, verify if any documents are missing or to be sent from our end.
  • Ensure constant follow-ups on email containing payments links related to visa appointments. Respond in a timely manner, answer queries of the visa partner and send any corrected or extra documents required. (This may require use of tools like- PDF editor, PDF merger, converter, etc.) 
  • Coordinate with the visa partner, student and book the appointment as per available city & time. Inform the student to make the payment.
  • Send document/information for the visa appointment received by the visa partner to the student.
  • Store all necessary student’s documents in the respective student’s drive.
  • Assist with booking a dummy ticket if required/if asked for help.
  • Ask for a final scan of the student’s visa documents and share it with the visa partner for verification of the visa documents before the final visa appointment. Follow-up with the visa partner and inform the student, if there are any changes, should be done at least two days in advance.
  • Send a reminder mail for the visa appointment to the student.
  • Follow up after the visa appointment with the student.
  • Inform the Placement Manager of the travel details of the student and inform the Placement Manager to share the information of the person from the hotel coming to pick them up, if applicable.
  • Handling and supporting the clients with visa support for all countries.
  • Send good luck mail along with DM Important Information.
  • Conduct Induction and take review - both during call and on Google reviews (remember to record the Induction.) 
  • Send the recorded video with minutes to Digital Marketing team for posting a good luck post on the student’s day of travel. 
  • Ensure student has reached the hotel.
  • Transfer student folder to ‘in France’ drive folder.
  • Keep updating 6 Months France google sheet throughout the process.
  • Remind the student within one month for visa validation and ask for photos.
Qualifications
  • Bachelor's degree or 3+ years of experience in program management
  • Proficient in Microsoft Office suite
  • French language skills B2 will be preferred.
  • Strong communication, organizational, analytical and critical thinking skills
  • People with tourism background will be preferred.
