What this job involves:  A Workplace Ambassador / Front Office Executive is responsible for managing and coordinating the reception area of the organization. They serve as the first point of contact for visitors, clients, and employees and provide administrative support to ensure smooth front office operations. Duties/Responsibilities: Reception and Greeting: Welcoming visitors and directing them to the appropriate person or department. Answering incoming calls, taking messages, and forwarding calls to the appropriate person. Maintaining a professional and courteous demeanor while interacting with visitors and callers. Administrative Support: Scheduling appointments, meetings, and conference rooms. Managing and distributing incoming/outgoing mail and courier packages. Maintaining office supplies and inventory, placing orders as needed. Assisting with data entry, filing, and organizing documents. Coordinating travel arrangements and accommodations for staff members. Communication and Correspondence: Handling incoming and outgoing emails, fax correspondence, and postal mail. Assisting with general inquiries and providing information to clients, visitors, and employees. Liaising with other departments and coordination of internal communication. Records Management: Maintaining visitor logs and ensuring proper sign-in and sign-out procedures. Updating and maintaining employee contact directories and databases. Managing and organizing office files, documents, and records. Customer Service: Providing excellent customer service and assistance to clients, visitors, and employees. Resolving or directing questions, requests, and complaints to the appropriate personnel. Ensuring visitors are comfortable and attended to while they wait. Office Maintenance and Organization: Keeping the front office area clean, organized, and presentable. Coordinating with housekeeping and maintenance staff to address any issues. Monitoring office equipment and reporting any malfunctions or needed repairs. Required Skills/Abilities: Excellent verbal and written communication skills in both Arabic and English. Excellent organizational skills and attention to detail. Excellent time management skills with a proven ability to meet deadlines. Ability to function well in a high-paced and at times stressful environment. Extensive knowledge of office administration, clerical procedures, and recordkeeping systems. Extremely proficient with Microsoft Office Suite. Are you Interested?
