Job Description:Front Desk Management: Serve as the primary point of contact for visitors and staff, ensuring a professional and welcoming environment.Administrative Support: Assist with drafting letters, responding to emails, and preparing visitor entry passes.Meeting Coordination: Manage meeting room schedules, resolve conflicts, and arrange F&B services for high-profile meetings. Coordinate logistics for external meetings, including lunches and dinners.Facility and Pantry Management: Oversee pantry services, housekeeping, and inventory management of consumables.Travel Coordination: Handle travel arrangements, including hotel and car bookings and ground transportation.Event Management: Collaborate with the HR team to organize employee welfare events.Reporting and MIS: Prepare various reports, MIS, and presentations for the Administration Department.Facility Maintenance: Ensure the office and lab facilities are well-maintained, coordinating with IITB's maintenance department as needed.Visitor Management: Maintain effective relationships with external clients, visitors, and employees. Offer refreshments to all waiting visitors.Telecommunication Management: Manage internal and external communications efficiently.Minimum Qualifications and Experience:Bachelor's degree with 3-4 years of experience in administration, front office, reception, or facility management within a reputable organization.Required Expertise:Proficient in front desk management.Strong operational knowledge of MS Office and Zoom.Excellent English communication skills.
