Reporting to the Director, Learning & Talent Management, this role helps bring training programs to fruition by managing logistical aspects of professional development offerings. To succeed in this role, you must possess a highly methodical and organized approach to project work, as well as a collaborative and learner-oriented mindset. This role’s responsibilities include: Lex Mundi Institute (Associate & Partner programs), both in-person and virtual Work closely with the Director to manage the Lex Mundi Institute (LMI) courses, applying project management and prioritization best practices. Along with the Director, serve as the contact for all LMI programs; and attend all relevant programs in person. Maintain member-facing website, keeping it up to date with program dates, descriptions, target audience details and learning outcomes, registration pages, etc. Collaborate with Director and Marketing on communications plans across the programme and for individual courses. Draft member communications across all touchpoints, Work closely with the Director and relevant stakeholders to source internal and external faculty, and manage end-to-end engagement such as availability, fees, expectations, AV needs, etc. Plan calls with faculty and staff, capturing actions and outcomes. Manage all logistics with venues and host firms including deposits, agreements (collaborating with or Director), setup of rooms, food & beverage, audiovisual, invoices, payments, and other needs for both in-person and virtual programs. Research and book potential offsite activities, including finding social venues, negotiating costs, and managing vendors. Make recommendations to the Director. Manage logistics with participants including invoices and payment, hotel information, and pre-event information. Make hotel reservations for faculty and staff as needed. Confirm the estimated number of participants each year; monitor rooming lists and participation to ensure venue minimums are met. Manage all logistics for virtual events and activities, including scheduling, bookings and payments, faculty engagement, webinar setup, etc. Collaborate with the Director and Digital Learning Manager (DLM) on drafting and creating program materials. Draft and manage the budget for all programs (6+); oversee payment tracking; manage payments. Collaborate with the VP of Events, Learning, and Membership and Director to share ideas on continually evolving the LMI. Learner Engagement Collaborate with working groups and relevant stakeholders on our Associate STARS Initiative, and other projects, as required. Work with the Director and DLM as required on messaging, content, and user experience design for Lex Mundi virtual and e-learning offerings. Build and manage training evaluations (assessments, surveys, and feedback mechanisms). Capture and use course and programme data, to assess program effectiveness, and make data-driven recommendations for improvement. Support LMI Alumni, working with VP, Director, and DLM on the strategy to keep LMI alumni engaged post-event and implement the plan. Cross-promote learning resources such as the Associate Community and Mentoring scheme (part of STARS) with member firms, internal faculty, and past attendees, among others. Additional Responsibilities Work with VP and Director on Learning-related in-person and virtual events, including sourcing and choosing hotels and venues as needed, programs and logistics for meetings, and regional events. Provide input for EC and Board reports as requested. Run reports on member attendance and engagement and provide insight. Candidate Profile Bachelor’s degree or higher qualification. Relevant experience working in learning, training, or development events; with a preference for managing learning in a professional services setting. Able to demonstrate successful application of project management skills, including managing multiple training programs and conflicting priorities, planning, budgeting, and resource allocation. Eagle-eyed attention to both qualitative and numerical detail. Confidence in using new technologies for training delivery, such as virtual classrooms, e-learning platforms, and multimedia tools, as well as strong proficiency in using Microsoft products, particularly Excel. Excellent written and verbal communication and interpersonal skills, with demonstrable experience managing stakeholders at all levels, and collaborating with and across teams. Customer-focused approach to communication and collaboration. Comfortable working across various time zones to ensure the organization of events is completed to tight deadlines. Sensitivity to cultural differences and diversity issues. Self-motivation is key. Agility, resourcefulness, and a problem-solving mindset are critical. Lex Mundi operates globally, and the post holder will be expected to travel internationally, to 4-6 events per annum. Compensation: The candidate will receive annual compensation between £48,000 and £57,000. We also offer a generous pension plan and other benefits.
