About The Role

The Workforce Planning Manager plays a pivotal role in overseeing the workforce needs of the clinic, particularly in relation to the hiring and scheduling of doctors and nurses who conduct patient consultations. This role involves forecasting future staffing requirements, managing staff movement, and ensuring efficient hiring and onboarding processes. The manager leads a rostering or scheduling team responsible for slotting nurses and doctors into appointments with patients. Key Responsibilities: Workforce Planning:
  • Develop and execute workforce planning strategies to meet the clinic's staffing needs
  • Forecast future staffing requirements based on patient demand, staff movement, and other relevant factors
  • Coordinate recruitment efforts with Talent Acquisition for doctors and nurses, factoring in timelines for interviewing, hiring, and onboarding processes
  • Collaborate with Talent Acquisition and Clinical Education & Onboarding Manager to ensure a smooth hiring pipeline
Rostering and Scheduling Management:
  • Build and lead the scheduling team responsible for assigning nurses and doctors to patient appointments
  • Develop and maintain efficient scheduling processes to optimise staff utilisation and patient access to care
  • Ensure accurate and timely scheduling of appointments while considering staff availability and patient preferences
  • Implement systems to track and monitor appointment scheduling metrics, such as wait times and appointment utilisation
Clinical Governance and Compliance:
  • Collaborate with clinical governance teams to ensure compliance with regulatory requirements and industry best practices
Strategic Growth Initiatives:
  • Support strategic growth initiatives by providing insights and recommendations on workforce planning and staffing strategies
  • Collaborate with cross-functional teams to identify opportunities for operational improvement and efficiency
People Leadership:
  • Build and lead a high-performing workforce planning and scheduling team.
  • Provide mentorship, coaching, and professional development opportunities to team members
  • Set clear objectives and key performance indicators (KPIs) for the team and monitor performance against targets

About You

Qualifications, Skills, and Experience:
  • Bachelor's degree in business administration, human resources, healthcare management, or a related field
  • Previous experience in workforce planning, recruitment, and scheduling management, preferably in a healthcare or clinical setting
  • Strong analytical and problem-solving skills, with the ability to interpret data and make data-driven decisions
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with stakeholders at all levels
  • Proven leadership and management abilities, including the ability to lead and motivate a team to achieve organisational goals
  • Familiarity with relevant regulatory requirements and industry best practices in workforce management and clinical governance
