Learn more at POSITION SUMMARY: The operations administrator role is critical to providing administration services in supporting the overall Descartes Air Cargo Internet of Thing (IoT) strategy. The role primarily involves supporting the activities of the Descartes IoT team with supplier and customer administration, accounting functions, upkeep of records, and logistics coordination. The role includes support of Network activities and ensuring that supplier invoice processes are followed according to Descartes internal requirements, and customers are invoiced correctly each month. You will support those managing customer relationships generally to enhance our customer relationships and inventory management. The person we require will be a ‘finisher’ who thrives on detail, ensures processes are followed, and the minute is covered as needed. Flexibility in shifts/hours will be required at different times of the working month to fit in with accounting cycles and support business flow. Reporting to the IOT Network Manager, the role will likely be a full time position but with some flexibility for the right candidate. RESPONSIBILITIES: Your responsibilities are situated in the following domains:
- Administer Accounts Receivable processes for the Descartes-IoT business
- Administer Accounts Payable processes for the Descartes-IoT business
- Maintain inventory records for global storage locations
- Work closely with Network management team to achieve dispatch of equipment to customers and suppliers as and when needed
- Assist in supporting customer relationships with relevant information when needed
- Keep internal systems maintained and up to date/accurate as required
- Administer some office activities in support of the team
- Understand customer administration requirements and assist in delivery
- Ensure Health and Safety policies and procedures are current and complied with at all times
- Champion a clean office environment
- Technical proficiency in Microsoft Office applications
- Experience in office administration related role
- Understanding of financial concepts such as accounts receivable and accounts payable
- Commitment to good documentation and processes.
