The Customer Relations Specialist holds a pivotal role in representing our company, serving as the primary interface between our customers and our organization. This position demands excellent communication skills, empathy, and a genuine desire to assist customers with their inquiries, concerns, and needs. The ideal candidate will be proactive, solution-oriented, and dedicated to delivering personalized service that fosters long-term customer loyalty. Responsibilities: Act as the primary point of contact for customers, addressing inquiries, requests, and concerns via phone, email, chat, and in-person interactions. Assist customers throughout the purchasing process, providing guidance, product information, and support from initial inquiry to order completion. Collaborate with sales, marketing, and operations teams to ensure accurate and timely order processing, inventory management, and shipment tracking. Provide personalized recommendations and solutions to customers based on their needs, preferences, and budget constraints. Work closely with Catalogue and Channel Managers to efficiently fulfill orders. Report to the Catalogue Manager. Process purchase orders, quotes, and invoices accurately and efficiently, following established procedures and protocols. Liaise with vendors, suppliers, and shipping carriers to coordinate deliveries, resolve shipping issues, and ensure on-time order delivery. Handle customer complaints and escalations promptly and professionally, aiming for satisfactory resolutions and maintaining positive relationships. Maintain up-to-date knowledge of products/services, pricing, promotions, and company policies to provide accurate information to customers. Document customer interactions, transactions, and feedback in the CRM system for future reference and analysis. Proactively identify opportunities to enhance the customer experience and improve internal processes to streamline operations. Qualifications: Bachelor's degree in Business Administration, Marketing, or a related field preferred. Proven experience in, sales support, preferably in retail, e-commerce, or B2B environments. Excellent communication skills, both verbal and written, with the ability to articulate complex information clearly and concisely. Strong interpersonal skills and the ability to build rapport and trust with customers. Proficiency in using CRM systems, order management software, and other relevant tools and technology. Detail-oriented with strong organizational and multitasking abilities. Ability to work effectively in a fast-paced, deadline-driven environment. Flexibility to adapt to changing priorities and business needs. Positive attitude, problem-solving mindset, and commitment to delivering exceptional service.
