Project Management Administrator

We have an exciting opportunity to join our Vegetation Team as Project Management Administrator. This role will can be based in our Rotorua or Hastings depot and there will be the requirement to travel to Hastings or Rotorua depending on the depot you are based in, from time to time. The role of the Project Management Administrator is to carry out administration and project administration duties for the Contracting Group in Hawke's Bay & Central region to ensure that the operational requirements of the network are maintained. You will be an excellent communicator, both written and verbally. Key Responsibilities
  • Undertake vegetation project management support functions:
  • Create, Issue and monitor the status of Cut or Trim notices and risk notifications
  • Provide timely processing of work packs and projects:
  • Identify areas of concern and follow-up to ensure actions are completed in a timely manner.
  • Receive purchase order requests and creating purchase orders for goods and services ensuring the right General Ledger and Cost Centres are applied.
Scheduling
  • Liaise with Network and Commercial initiators regarding scheduling and anticipated resource requirements of projects in initiation
  • Model and analyse work demand versus capacity and identify gaps/constraints
  • Identify substitute projects and break-in work
  • Manage break-in work with Planners and Field Leaders
  • Assist in preparation of programme management reporting
Other Duties
  • Provide assistance and back-up to the wider administration and project management administration team as required. (including timesheet inputting and Vault updating)
  • Assist with special projects/research and other duties that may be required from time to time.
  • Document filing, formatting and templates as required.
  • Organisation of bulk testing.
  • Scheduling and coordination of cable location and vegetation services.
  • Meeting coordination
