As a Procurement Operations Assistant, you'll play an important role in supporting this mission by ensuring a seamless procurement experience for our internal customers and suppliers. The day-to-day:- Manage requests using our intake tool, ensuring timely responses within set deadlines.
- Provide prompt, friendly, and efficient customer service to external vendors and internal inquiries/correspondences.
- Triage and respond to administrative requests in our ticketing tool.
- Work with the Sourcing team throughout the purchasing process.
- Assist in processing purchase requisitions and change orders.
- Support with virtual credit card payments and reconciliations.
- Route approved contracts for signature via e-signature software
- Maintain the contract database.
- Follow proper procedures for any new vendor creation or updates; verifying federal id number, name, addresses that are provided on the documents by vendor
- Assist in managing the supplier database.
- Collaborate with the Accounts Payable team on the end-to-end process.
- Contribute to documenting processes and suggest improvements.
- Updates job knowledge by participating in training & learning opportunities.
- Handles tasks and projects delegated or assigned by the team lead and Manager
- Protect the organization's value by keeping financial information confidential.
- Education : Minimum of a Bachelor's degree in Finance, Accounting, or equivalent.
- Experience : At least 3-5 years of relevant experience in Procurement Operations or a related field.
- Tech Proficiency: Familiarity with ticketing or software tools is a plus.
- Flexibility : Willingness to work flexible hours to accommodate global time zones.
- Communication: Strong written and verbal communication skills, along with basic problem-solving abilities.
- Team Player : Ability to provide good customer service and collaborate within teams.
- Adaptability : Comfortable in a dynamic environment with strong multitasking skills.
- Organization : Basic organizational skills to ensure smooth operations.
- Attention to Detail: Ability to handle tasks with attention to detail, especially when dealing with financial data.
- Willingness to work on a hybrid set up
- Willingness to work on night shifts
