Your Impact on Career Team’s Success: The Fiscal and Operations Associate will play a very important role on the Finance and Operations Team. The ideal candidate is one who thrives in a fast-paced environment while remaining flexible, proactive, resourceful, and efficient! This Associate is responsible for financial and associated operating activities across multiple assigned business units, therefore, a high level of accuracy and confidentiality must be maintained. The primary responsibilities for this role will focus on invoicing, analyzing, and reporting project financial status for various business units across our continuously expanding organization. Other Key Functions of the Role:

  • Oversee and complete software client invoicing process;
  • Manage the warehouse process, including monitoring inventory levels and control the supply chain with product vendors;
  • Ensure customer orders are fulfilled within a timely manner;
  • Establish procedures and policies to facilitate effective and efficient financial reporting and ensure compliance with Federal WIOA, local, State, and corporate policies;
  • Ensure that the project fulfills all financial obligations in a timely and economic manner in accordance with established policies, budgets within WIOA guidelines;
  • Coordinate accounting activities for assigned projects which includes establishment and monitoring of procedures and policies by contract;
  • Directs fiscal operations relating to financial planning, funds management, accounting, and reporting;
  • Monitor government contracts and private restricted funding to ensure full utilization financially;
  • Process employee expenses, vendor project invoices and program payroll analytics;
  • Perform month-end closing activities including Balance Sheet reconciliations;
  • Compile all supporting documentation for monthly contract invoices.
  • Supports annual audit deliverables and manages periodic program audit requests;
  • Manage the warehouse process, including monitoring inventory levels and managing supply chain with product vendors;
  • Ensuring customer orders are fulfilled within a timely manner;
  • Approach each day and task with a “Zag” mindset;
  • Other duties and projects as needed.
Ideal Qualifications for this Role Include:
  • A Bachelor’s degree in Accounting, Finance, or another related concentration
  • A minimum of 3 years’ experience handling US government contracts is a plus;
  • Must have demonstrated Knowledge of Generally Accepted Accounting Principles (GAAP), be able to reconcile balance sheets and profit/loss reports and implement financial management policies and procedures;
  • Demonstrate strong proficiency using advanced Microsoft Excel, QuickBooks and Workday – Adaptive Planning a plus;
  • Must be a self-starter, hands on and able to be flexible with competitive work demands. Take the initiative to look beyond any variances and get to the source of the problem or identify trends;
  • Meticulous organizational skills and detail-oriented;
  • Professional communication skills, experience with handling sensitive and confidential data;
  • Must be able to meet deadlines and work under pressure, including the ability to perform and complete a high volume of work assignments with speed and accuracy, work cooperatively with others and showing courteousness and a high level of professionalism.
