Award winning International Hotel Group based in Camps Bay is currently recruiting for an Assistant Wedding & Events Coordinator that will be responsible for coordination of Wedding & Events at the hotel as well as their remote lodge property. This position offers routine and predictability with opportunities to apply your technical and operational skills daily as part of a highly effective team, where your specialist wedding and banquet coordination and operational expertise can be recognised. Responsible for:

  • Liaise with all clients, ascertaining their requirements and coordinating as well as successfully executing weddings and events in a timely manner in accordance with the brand standard with the intention of ensuring that the highest standard of performance and service is achieved by all relevant parties.
  • To ensure that the highest standard of performance and service is achieved when selling, reserving, planning and executing wedding and events
  • To process all enquiries timeously and efficiently
  • To ensure harmonious relationships exist with other departments, suppliers and hotel management by maintaining clear and prompt communication between all parties; and ensuring that all correspondence with clients reflects the professionalism of the company standard and enhances the relationships with key suppliers
  • To maximise revenue generating opportunities, whilst enhancing the guest service experience
  • Communicating with vendors to confirm logistics and review contracts
  • Completing a final checkup on the venues for the ceremony and reception
  • Meeting with the clients before the wedding / event
  • Addressing any overlooked details
  • Managing the Rehearsals
  • Creating a comprehensive timeline and floor plans
  • To ensure the accuracy of all reservation to ensure an exceptional guest experience
  • To be present on the day of event, coordinating all setups and preparations, overseeing all of the guests needs leading up to and on the wedding / event day as well as assisting the Banqueting Manager where needed.
  • Prepare and present financial and operational reports as required by the business needs
  • Accurate account management.
  • To update and maintain the enquiry report and conversion statistical report
Requirements:
  • Grade 12
  • Hotel, Food and Beverage or Events Diploma
  • At least 2 years Wedding / Banqueting Reservations and Operations experience in a 4* or 5* Hotel.
  • Previous Food and Beverage operational experience mandatory
  • Computer literate: MS Office / Opera / Micros
  • Sound business acumen
  • Ability to interpret budgets and Business Reports, PNLs and forecasts.
  • Highly presentable
  • Excellent command of the English language with solid verbal and written communication skills
  • Able to work flexible hours including weekends and public holidays
