The Role My client, one of Ireland's most recognisable non-profit organisations is seeking an experienced Personal Assistant to join their team based in South Dublin. This is a full-time, permanent position. As the Personal Assistant you will provide administrative support to the Director of People & Culture and the wider HR Leadership Team. You will be responsible for resource coordination, scheduling, record keeping and ensuring compliance with government and safety regulations. Tasks & Duties

  • Act as the primary point of contact for both internal and external inquiries directed to the People and Culture Leadership Team, making decisions on behalf of the team and coordinating follow-ups to ensure smooth departmental operations.
  • Provide comprehensive administrative support to the People and Culture Leadership Team, including drafting correspondence, formatting documents, coordinating reports and presentations, organising meeting materials, managing filing systems, conducting mail merges, procuring stationery, arranging travel, and conducting relevant research.
  • Efficiently manage the Director's schedule, overseeing appointments, conferences, events, and itinerary reviews, and coordinating all travel logistics for precise scheduling and organisation.
  • Oversee ad-hoc projects by scheduling meetings, documenting decisions, dividing tasks with clear objectives and timelines, and ensuring progress tracking.
  • Maintain professionalism and discretion in all interactions, especially when handling confidential information, demonstrating tact, diplomacy, and integrity.
  • Manage departmental finances by tracking and processing invoices, expense reports, and other financial documents.
  • Maintain accurate attendance records for People & Culture staff, including annual, sick, paternity, and maternity leave, while ensuring HR systems are updated accordingly.
  • Serve as the designated Super User for Metacompliance policy management software, updating HR policies and procedures, uploading policies, and tracking staff attestation and responses.
Experience, Knowledge & Qualifications
  • Essential: 2-3 years' experience as a Personal Assistant at a senior level.
  • Diploma/certificate level education in a relevant discipline or equivalent experience required.
  • Highly desirable: Certified in project management with experience in managing projects, events, and large multi-functional meetings in a complex stakeholder environment.
  • Ability to make informed independent decisions with high levels of initiative.
  • Effective collaboration skills in both in-person and remote team environments, fostering positive working relationships.
  • Tactful and professional in maintaining the confidentiality of highly sensitive material.
  • Proficiency in Microsoft Office (Excel, Word, Visio, & PowerPoint) and a strong working knowledge of various communication solutions.
  • Strong organisational skills with a high degree of efficiency and attention to detail.
  • Excellent written and verbal communication skills.
