We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our executive team. The Executive Assistant will be responsible for managing schedules coordinating meetings and travel arrangements preparing documents and presentations and handling a variety of administrative tasks with efficiency and professionalism. The ideal candidate will possess strong communication skills exceptional attention to detail and the ability to anticipate and address the needs of our executives.

Tasks

  • Manage complex calendars and schedules for executives including arranging meetings appointments and travel itineraries.
  • Coordinate logistics for meetings conferences and events both internally and externally.
  • Prepare and distribute agendas presentations and other materials for meetings and events.
  • Serve as the primary point of contact for internal and external stakeholders including clients partners and vendors.
  • Handle incoming communications including phone calls emails and mail and prioritize and respond as necessary.
  • Conduct research and gather information as needed to support decisionmaking and project management.
  • Assist with special projects and initiatives as assigned by the executive team.
  • Maintain confidentiality and discretion in handling sensitive information and matters.

Requirements

  • Bachelors degree or equivalent qualification in business administration communications or a related field.
  • Proven experience as an executive assistant or in a similar administrative role supporting senior executives or leadership teams.
  • Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines.
  • Strong written and verbal communication skills including professional phone etiquette.
  • Proficiency in Microsoft Office suite (Word Excel PowerPoint Outlook) and other productivity tools.
  • High level of discretion and confidentiality in handling sensitive information.
  • Adaptability and resourcefulness in navigating changing priorities and demands.
  • Ability to work independently with minimal supervision and as part of a team.
  • Flexibility to work outside regular business hours as needed.
