What you'll do

As a Workplace Experience Associate, you will be responsible for the front of house - being the face and personality of Docusign in a friendly, engaging and helpful manner. This position is intentionally called an “associate” and not a “receptionist” because we value the importance of connecting our people with each other, and the outside world. The Associate will thrive in a fast-paced environment juggling multiple tasks while assisting the WE team with different projects and the smooth and efficient operation of the office. This person will enjoy being flexible in taking on ad hoc duties. Willingness to learn is essential. This position is an individual contributor role, reporting to the Snr. EMEA/LATAM Workplace Experience Manager. Responsibility
  • Maintain reception desk services including, greeting visitors and assisting internal employees while delivering excellent customer service
  • Build relationships of mutual trust and handle complaints and concerns in an emotionally intelligent and constructive way
  • Assist with the new hire onboarding process, welcoming new hires to the office and familiarizing them with their team neighbourhood, office and building amenities, and where to go when they have questions
  • Monitor and manage all office stationary supplies
  • Interact with the senior leadership team professionally and courteously on a daily basis
  • Monitor internal feedback and communication channels such as the local Slack channel and team ticketing system (ServiceNow) and escalate findings appropriately
  • Monitor and audit office cleanliness and functionality and inform the Workplace Experience Lead of any issues that need to be addressed
  • Support administrative needs for standard office operations as well as recurring or ad hoc projects, including meeting room coordination, reporting on office and conference room utilization, and assisting with local office Intranet site with forward-thinking ideas and strong written communication skills
  • Apply workplace-related standards, requirements and practices to ensure fully compliant workplace operations and maintenance
  • Support vendor management for Workplace Experience Vendors, including janitorial, food and beverage, maintenance vendors, and more
  • Partner with the People Team, Employee Resource Groups and other key stakeholders in delivering employee-centric programs, services, and events, building company culture and strengthening engagement
  • Assist with improving DocuSign’s Environmental Corporate Social Responsibility by finding ways to reduce waste and implement eco-friendly solutions
  • Manage local office access badges and work closely with Security to help maintain a safe environment
  • Assist the Workplace team with onsite event management including catering, building access and meeting room setups
  • Assist London employees remotely, organising onsite events and catering
  • Collaborate with Global WE team members on various projects/initiatives

Job Designation

In Office: Employee works from the physical workspace 100% of the time. Positions at Docusign are assigned a job designation of either In Office, Hybrid or Remote and are specific to the role/job. Preferred job designations are not guaranteed when changing positions within Docusign. What you bring

Basic
  • 2 years of office services, hospitality, reception, and/or facilities experience
  • Proficiency with, G Suite, Slack, Service Now, space planning software
  • Ability to work extended hours where necessary
Preferred
  • Previous event management experience would be an advantage when organising office events such as happy hours, and holiday parties
  • Good understanding of Building Facilities, to include HVAC, and planned preventative maintenance schedules.
  • Excellent verbal and written communication and interpersonal skills
  • General knowledge of Safety & Security standards
  • Attention to detail and data accuracy
  • Ability to manage multiple initiatives simultaneously
  • Good prioritization and time management skills
  • Responds positively to continuous change
  • Team player with a flexible mindset
  • Proactive approach to problem solving, and ability to make good decisions in a rapidly changing environment
