 PURPOSE OF THE JOBThe key purpose of this role is to administer the Implementation of the Divisional Operational Plan that is aligned to Strategic Plan and Annual Performance Plan. It is also to ensure that the division meet the set target: Work Integrated Learning, Skills Programmes for Youth, Entrepreneurship supported to start their businesses, TVET Partnership Established, CET Partnership Established, TVET , Career Guidance Strategy and Strategic Projects.Key Performance AreasOutputs Administration and Support 60%Execute site visits of the employers applying for discretionary grants for the first timeConduct monitoring visits in relation to the set target programmes in the divisionPrepare the payment batches for submission to and payment by FinanceTrack actual commitments and payments between INSETA and the employersRequest and receive midterm progress reports and supporting document for the tracking of active learnersChecking and verifying the documents upon receivingConduct monthly check of contracts to ensure that dates are still valid and there's positive balancePrepare a reconciliation of documents and request for the invoicePrepare the second tranche invoice for payment by financeRequest and receive closure reports from employers and supporting documents.Checking and verifying the documents upon receivingPrepare a reconciliation of documents and request for the last tranche invoicePrepare the last tranche invoice payment by financeUpdate the payment spreadsheet on payments done against the projectsPrepare the completion spreadsheet for tracking of the completed learnersPrepare closure letters and addendums for the implemented projectsGeneral Administration 40%Continuous tracking and follow up on all documentation and queriesCo -coordinating and arranging travel, venue and accommodation within area of work relating to learnershipsacknowledging and responding to all incoming and outgoing correspondences pertaining to the learnership projectHandling stakeholders' queries via telephone, e-mail or walk in clientsProviding administrative support to the Learning Division Specialist and ManagerEnsure that all information is kept confidential and filed securelyAssist in providing the required documentation and information as required by DHET and AuditorsProvide input in the Policy and procedures updatesProvide input in the Standard Operating Procedure updates and guidelines.Ensuring performance reporting processes are accurate, compliant and completeProvide assistance to TVET with regards to AccreditationREQUIRED QUALIFICATIONS AND EXPERIENCEQualificationsMinimum Requirement: Grade 12 or equivalent is required plus any NQF Level 5 in Administration/ Business administration or related qualification.Preferred Requirement: NQF 6 qualification in Administration and project administrationExperienceMinimum Requirement: A minimum of 1 to 2 years relevant experience in administrationPreferred requirement: Relevant experience in the Public Sector environment.REQUIRED KNOWLEDGE AND SKILLSKnowledgeMinimum Requirement: Knowledge and understanding of the PFMA and NT regulations.SkillsMinimum Requirement: Attention to detail, ability to work under pressure and meet deadline under challenging circumstances.Preferred Requirements:INSETA is an equal opportunity employer and preference will be afforded to designated candidates in line with the approved Employment Equity Plan.Closing date: 08 May 2024NB: Applications of People with Disabilities will be given preference.No late applications will be accepted.Send your CV and Qualifications in your online application.INSETA reserves the right not to make an appointment.
