About the Client: The client provides recruitment coaching and mindfulness services. Most of their clients run startups and midsize companies. About the Role: The Admin and Bookkeeping Assistant plays a pivotal role in supporting the seamless operation of a USbased firm specializing in recruitment coaching and mindfulness services. This position requires a blend of meticulous administrative coordination precise bookkeeping and proactive client engagement. Performance Profile: Executive and Administrative Support:
  • Within the first month conduct a comprehensive review of the current email sorting process identifying key action items with 100% accuracy and ensuring reminders are sent daily to maintain executive workflow efficiency.
  • Establish a robust calendar and travel management system within 30 days that allows for seamless coordination of appointments and meetings resulting in a reduction in scheduling conflicts.
  • Achieve mastery of the Copper CRM within 60 days maintaining uptodate client data and ensuring all appointment bookings are accurate and timely.
  • Demonstrate meticulous notetaking skills during client calls utilizing the power of AI through Fireflies capturing all critical points for future reference aiming for zero missed action items over a threemonth period.
  • Develop and implement a followup protocol with clients leading to an increase in client engagement by the end of the second quarter.
Bookkeeping:
  • Within the first two weeks take over management of QuickBooks entries ensuring a 100% accuracy rate in income and expense tracking and proper tagging for financial reporting.
  • Streamline the invoice creation process to ensure all client invoices are generated within one business day of service completion and all freelancer and contractor invoices are paid within agreed payment terms.
Podcast Production:
  • Within the first 45 days create a podcast production calendar that optimizes recording schedules leading to improvement in episode release timeliness.
  • Develop a prerecording tech checklist and runthrough process to ensure all guests are adequately prepared aiming for a 100% success rate in recording quality.
  • Within the first three months implement a system for uploading episodes and annotating show notes that enhances listener engagement.
Key Subtasks:
  • Document all executive and administrative processes within the first 90 days creating a training manual that reduces onboarding time for future hires
  • Provide support in moving such as paperwork change address forms set up services order new items etc. ensuring a smooth transition for the client.
  • Maintain highlevel English communication standards demonstrating exceptional writing capabilities in all forms of client communication.
Qualifications:
  • Minimum 2 years experience in an executive administrative/assistant role.
  • Proficient in QuickBooks with demonstrated experience.
  • Exceptional English communication skills coupled with outstanding writing capabilities.
  • Highly skilled in research methodologies.
  • Proven track record of efficiently organizing and managing executive travel itineraries meetings and related tasks.
  • Experience using a CRM similar to Copper demonstrating mastery in maintaining uptodate client data and ensuring accurate and timely appointment bookings.
  • Ability to build strong rapport and demonstrate highlevel etiquette in professional interactions.
  • Demonstrated capability to follow processes and procedures meticulously and document them in detail.
  • Advanced proficiency in Google Suite applications.
  • Ability to execute tasks with professionalism and prioritize effectively.
  • Techsavvy individual with a knack for quick learning and adaptation to new platforms and systems.
  • Highly disciplined extremely organized and keen attention to detail.
  • Selfstarter with the ability to work autonomously and deliver results with minimal supervision.
