We are currently searching for Executive Support to assist in operational and administration requirements of the Melbourne practice, and provide executive support to senior management. We are looking for someone who can work closely with people across all levels of the organisation to support and empower our leadership. COX Architecture is a multidisciplinary Australian practice which integrates architecture, planning, urban design and interior design. We are currently searching for Executive Support to assist in the operational and administration requirements of the Melbourne practice as required, and provide executive support to senior management. We are looking for someone who can work closely with people across all levels of the organisation to support and empower our leadership. Responsible for:
- Providing high level administrative support to Melbourne Directors including:
- Diary and email management
- Meeting coordination & preparation, including catering, AV requirements, room bookings & taking minutes as needed
- Domestic and international travel bookings
- Credit card payments & expense claims
- Managing professional registrations
- Timesheets
- Assisting with admin tasks as required including filing, printing, scanning & preparing documents
- Relief reception
- Minimum 5 years’ experience in a similar role
- Proficiency with Microsoft Office suite
- Professional presentation & a positive attitude
- Strong verbal and written communication skills
- Excellent time management skills, with the ability to multi-task across a variety of areas
- Strong attention to detail
- Ability to take initiative and ownership of the role
- Ability to build effective relationships
- Demonstrated ability to work autonomously and collaborate as part of a team
- Motivated, punctual and prompt to act on requests
