This multifaceted position demands a blend of financial expertise, operational acumen, and leadership skills to drive efficiency and optimize budgetary resource allocation within the IT department.This is an on-site position with a hybrid option and a flexible work schedule.The salary range is $65,000-$75,000, depending on experience.JOB DESCRIPTIONResponsibilities: Financial Operations  Budget Management  Lead the development and ongoing management of the IT Department's operating and capital budget s , ensuring alignment with departmental goals and university budgetary frameworks. Collaborate closely with senior IT leadership to understand their infrastructure and software needs and translate them into strategically allocated budget resources. Work collaboratively with the Finance Department to forecast operational and capital budget needs on a quarterly basis. Analyze budget variances, identify areas for cost-saving opportunities, and recommend adjustments to optimize resource utilization . Create comprehensive budget reports and presentations for senior management to communicate financial performance and budget utilization . Financial Oversight and Reporting  Oversee the processing and reconciliation of all financial transactions for the IT Department, ensuring accuracy and adherence to accounting principles. Serve as the primary contact for external vendors regarding invoice payments and maintenance contracts, fostering positive relationships and ensuring timely and accurate settlements. Conduct thorough monthly reviews of budget reconciliations and identify any discrepancies . Manage and monitor technology-related accounts payable for major campus infrastructure projects, ensuring timely processing of invoices and accurate recording of expenses. Facilitate the renewal of IT software and hardware maintenance contracts and license agreements, negotiating favorable terms and cost-effectively managing upgrades. Work closely with IT managers to understand their academic software needs and ensure efficient implementation and management of maintenance agreements. Procurement and Compliance  Champion the adherence to university purchasing regulations and best practices within the IT department, ensuring all transactions are ethical and compliant. Provide training and guidance to IT staff on the proper utilization of financial systems and procedures, including purchase cards and the Workday financial system. Collaborate with the Procurement department to streamline IT purchasing processes, identifying opportunities for improvement and implementation. Office Operations and Administrative Tasks Hire and supervise student employees , including approving time submissions and maintaining accurate payroll records within Workday and Financial Aid systems. Delegate and oversee administrative tasks ensuring smooth and efficient office operations. Oversee IT vehicle operations, ensuring proper maintenance and adherence to all licensing and insurance requirements for drivers. Assist with travel and conference arrangements for IT staff, streamlining logistics and ensuring cost-effectiveness. Manage and maintain various departmental resources and processes, such as o rganizational charts, electronic sign age , employee contact information , key distribution, etc. Other duties as assigned. Requirements: Bachelor's degree.  Strong written, verbal, and interpersonal skills.  Minimum of 5 to 7 Years of e xperience working with budgets and accounting procedures.  Must be able to prioritize and organize work effectively and be able to manage several projects simultaneously.  Ability to work well independently as well as a member of a team in a fast-paced environment. Previous experience dealing with, and knowledge of, responsibilities associated with handling confidential documents and information.  Solid computing skills, including experience using Microsoft Word, Outlook, and Excel required .
