The role:

An integral and critical part of the business, the Executive Assistant will support the CEO and broader leadership team with the following responsibilities, but not limited to:

Manage calendars, schedule meetings, and coordinate travel arrangements.Prepare and distribute meeting agendas, minutes, and supporting documents.Assist with the preparation of reports, presentations, and data analysis.Handle correspondence and communication with internal and external stakeholders.Maintain and organise e-working space and documents for easy access and retrieval.Monitor progress on action items and report on the status of initiatives.Coordinate logistics for events, conferences, and team activities.Support with culture building activities such as Monthly Morning tea and coordinate attendance at the Town hallbriefing.Oversee the procurement and management of all office(s) requirements and manage relationship with vendors.Act as a liaison between theexecs and other teams & departments, facilitate the flow of information within the team and across the organisation.Support team members with ad-hoc tasks and special requests where required.Provide input on process improvements and efficiency measures.Engage in continuous learning and development to enhance role effectiveness.

The successful candidate:

Proven experience providing high level administrative support to C-suite and Director level, within a corporate or professional environment.Demonstrable track record supporting and mitigating the needs of several stakeholders.Excellent communication and negotiation skills.Strong organisational skills with the ability to multitask and prioritise.Ability to work independently and as part of a team.Discretion and confidentiality in handling sensitive information.Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite and familiarity with virtual meeting platforms.Strong interpersonal skills with a customer service orientation.Detail-oriented with a proactive approach to problem-solving.Adaptability to changing priorities and project requirements.
