Context of the role

As the Planning Support Officer, you will provide advisory and executive support to the Director Service Strategy to assist in meeting the strategic and operational goals of Infrastructure Services Division.

The Planning Support Officer reports to the Director, Service Strategy within Infrastructure Services Division and is based in the Brisbane CBD.

Qualifications and experience

The essential requirements for this role are:

Support the provision of accurate and timely advice in response to ministerial and departmental correspondence, briefs and executive documents for the Service Strategy team. Demonstrated experience supporting the development of formal correspondence and documents. Demonstrated experience in supporting multidisciplinary teams in strategic initiatives and achieving successful project outcomes within an infrastructure service delivery environment (or similar). Demonstrated experience in preparing, monitoring, evaluating and reporting on programs and projects; and 'managing up' in order to ensure the key stakeholders remain informed, are proactively alerted to potential issues and risks. Confidence in the use of Microsoft Excel, PowerPoint, OneNote and Teams. Experience with the Department of Education Content Manager and Microsoft Power Bi would be highly regarded. Although is role does not have a specific mandatory qualification, a formal qualification or similar in Project Management or similar would be highly regarded.

Accountabilities

Responsibilities as the Planning Support Officer will include:

Review and analyse the content and requirements of correspondence, information and briefing/cabinet requests to determine where the request is required to be actioned, undertaking investigation, research and analysis of sensitive and confidential matters. Provide advice and support on strategic planning policy issues, projects and activities within the work unit including supporting the preparation of written briefs to the Minister, Director-General, Deputy Director-General and Assistant Director-General. Coordinate and monitor the progress of correspondence, cabinet requests, submissions, reports and briefing material to ensure timeframes are adhered to, including monitoring important issues and follow up action for the Director Service Strategy and other senior officers on significant portfolio matters. Ensure that briefings and correspondence are prepared in accordance with the department's Style Guide and Ministerial and Executive Services Guidelines. Search electronic and paper records, including the department's electronic document records management system for information and documents required by clients and ensure that requests are processed promptly and within set timeframes. Establish and maintain strong working relationships and networks with clients and departmental officers to ensure a culture of service delivery and achievement of negotiated guidelines. Provide and maintain appropriate information from the various databases, programs and systems used by departmental officers to ensure activities promote effective use of departmental facilities and resources, including the maintenance of infrastructure master planning reporting, tracking and records. Provide efficient support and coordination for the implementation and maintenance of adequate policy, processes, systems and internal controls to support effective delivery of infrastructure master planning projects. Enable informed decision making on project issues by assisting the development of timely and relevant written submissions, briefs, presentations and information papers for project stakeholders on project, financial and human resource matters. Liaise with engaged contractors and consultants, internal and external individuals and agencies, including professional/technical specialists on issues. Support Service Strategy team reporting on project related trends and performance against project plans and budgets. Proactively identify issues and risks to planning projects, and coordinate the development of options for issue resolution and the mitigation of risks, including the coordination of discussions with associated key stakeholder/s. Provide secretariat support as required to the Project Steering Committees, working groups and other project governance groups. Manage travel and booking arrangements for the Service Strategy team to support site visits across the State.
