Help Support Our Team at Equans ANZ A proud world leader in technical services.Equans, a leading provider of technical services across Australia & New Zealand, and globally, is on the lookout for a dynamic and experienced Administration Assistant to join our Fire & Mechanical Services team at our Osborne Park office for a fixed-term parental leave replacement.The purpose of this position is to provide full-service support to the Fire and Mechanical businesses day-to-day operations including compliance of systems and processes, reporting, invoicing, and general administration.You will have strong communications skills, sound experience producing invoices, using Microsoft Excel along with the ability to learn and pick up other computer systems and programs.While it is preferable that you have with exposure to multi-service, facilities management and/or maintenance business, it is not required.About UsEquans is part of a global, technical services leader, and part of the Bouygues Group. We design and provide customised solutions for our clients to support them in their energy, industrial and digital transitions.With highly qualified employees across 20+ locations in Australia and New Zealand, we provide excellent technical expertise in design, installation, and maintenance, with a unique combination of skills in Mechanical, Fire Protection, AV and Electrical and Communications Services.What you will be doing: General administration duties such as: InvoicingProcessing purchase ordersLiaising with suppliers, contractors, customers, and technicians. Answering phones and service email to provide exceptional customer service.Providing administrative support to the management team.Maintaining customer service documentation.Follow up on any outstanding work and invoices.Work within customer portals. What you need: The ability to pick things up quickly.A confident and initiative-taking temperament.Ability to communicate with clients, colleagues, and technicians in a clear and confident manner.Openness to learn how to use multiple new computer systems/programs.Intermediate to advanced computer & MS Office skills.Experience with Pronto highly desirable.Excellent written and verbal communication skillsProven aptitude for managing competing priorities with successful deliverables.Ability to maintain high standards of customer service in a high-pressure environment.Superior organisational skills and attention to detail.Previous experience in a fast-paced administration role.Self-motivation & a drive to achieve within set timeframes.
