If you want a career where you can thrive, be challenged and do meaningful work, you're in the right place.Why your role matters:The Senior Project Coordinator plays a crucial role in supporting the Estate Improvement team to ensure the safe, timely, and high-quality delivery of capital works across the University's estate.Key responsibilities include providing comprehensive project and administrative support to the project team to facilitate the delivery of various asset improvement projects within the University's estate portfolio. This entails: Coordinating WHS project documentation requirementsSupporting in the preparation of tender documentation, variations, and contract administrationAssisting with delivery and schedulingSupporting the team with the financial management of projects, including raising purchase orders and processing invoicesCoordinating meetings with consultants, contractors, teams, and clientsManaging defects rectification and close-outs.Managing the delivery of minor projects The role of Project Coordinator reports to the Senior Manager and Portfolio Delivery Managers and has nil direct reports.Responsibilities: Oversee the development of project plans and schedules, and participate in planning processes as requiredMonitor, track and report on the status of project deliverables to ensure time, cost and quality metrics are in line with approved project plans for assigned projectSupport in preparing project documentation, including scope of work, project plans, and progress reportsFacilitate communication between project team members, stakeholders, and contractorsAssist in the implementation of project management processes and proceduresPrepare project documentation and ensure version control and document management procedures are followedSupport project financial management, including budget management, raising purchase orders and processing invoices in a timely mannerAssist in the preparation of project cost estimates and setting up budgetsSupport in preparing tender documentation, contracts, and procurement activitiesSupport the PM with coordinating meetings, workshops, and stakeholder engagement activitiesAct as the key contact for internal and external stakeholders, maintaining effective channels of communication and interpreting urgent requests and correspondence to prioritiseMonitor and track project risks throughout the project lifecycle and assist in the resolution of project issues and conflicts as they ariseCoordinate HSE documentation requirements and ensuring compliance with relevant regulations and standardsAssist in developing and implementing HSE plans, procedures, and protocolsManage small scale project deliveries Skills and Experience Relevant tertiary qualification with subsequent relevant experience, or equivalent competence gained through any combination of education, training and experience in project managementExperience in contract management, with knowledge of construction contracts such as GC21 and MW21,Familiarity with capital programs and projects, from feasibility to delivery, to achieve client objectives in terms of cost, value, time, and qualityExposure to delivering various project types, including office spaces, research wet/dry labs, teaching facilities, infrastructure/services upgrades, façade rectification, etc.Understanding project financial management budgets for multi-project programmingStrong organisational skills with the ability to effectively prioritise competing prioritiesDemonstrated ability and capacity to monitor the implementation and effectiveness of the safety management system, especially during the delivery of projectsSkills in contract documentation, reporting, and analysis, with the ability to present information when requiredExcellent interpersonal and written communication skills, with some experience in researching, analysing, and preparing reports for different audiencesProficiency in relevant computer applications related to planning, reporting, and project delivery, such as Microsoft Office, ARCHIBUS, Smartsheet, etc. Further details can be found in a copy of the Position Description linked below or via Benefits and Culture: People are at the core of everything we do.
