TENANT LIAISON OFFICER INTERNSHIP- CAPE TOWN (24 MONTH CONTRACT)(SHRA Supported Young Graduate Programme)Role Purpose:To assist and aid with the management of the building complex, including management of relationships with tenants, rental collection, leasing of units and maintenance.  Minimum Requirements:Grade 12  Relevant qualification in built environment, i.e. building/property managementAdministration experienceComputer literacy is essential.Key Performance Areas:MarketingEngage in marketing activities by participating in formal and informal networking activitiesEnsure that signage on site is visibleFurnish prospective tenants with product service offerings and required documentation criteria (product and services brochures/pamphlets)Pre-take on assessmentAssist new applicants in completing forms and documentationReceive, sort and review application forms from prospective tenantsAssess whether pre-qualification criteria are met and source additional information if required.Complete credit checks and rate applications that have been through credit vetting processCall qualifying tenants and advise that their application has been approved Call non- qualifying tenants and advise that their application has not been approved.Take on, handover and record keepingAssist with the leasing processInput leasing data onto the Novtel systemScan and upload all documentation to Shared drive and Novtel RelationsSort hardcopy files in the officeSort softcopy files on the Shared driveAccountsAssist tenants with rental account queries. Debt CollectionAssist with the rental collection process through:- Distributing rental statements- Following up on tenants that are in arrears- Distributing arrears letters and final notices Implementing credit control procedures through:- Calling of tenants who have not paid by the 6th of each month - Visiting tenants who are more than 1 month in arrears Inspecting all arrear rental units weekly to ensure tenants have not absconded.Tenant relationships / Lease ManagementAttending to tenant queries and complaintsEnforcing house rules Deal with complaints between parties and facilitate an amicable resolution Issuing notice letters and warningsConducting tenant occupancy auditsNetwork and establish contacts with social workers and welfare agencies, for use by tenants.Maintenance QueriesAssist tenants with maintenance complaintsLog maintenance calls and or walk in queries Use the property management system to control maintenance managementOffice AdministrationBasic office administration as required by the manager.Welfare Advise and SupportNetwork and establish contacts with social workers and welfare agencies ROLE REQUIREMENTS GENERIC SKILLS:Communication Computer skillsFacilitationCustomer ServiceRelationship Management Teamwork ATTRIBUTESEmotional controlPersuasionAssertivenessInterpersonal SkillsAttention to detailAdaptability and FlexibilitySituational sensitivityUndertakings:Criminal / Credit Check Salary: Stipend to be discussed during interviewApplication Process:
