This role is pivotal in ensuring the smooth operation of our office by managing day-to-day administrative tasks, supporting multiple service lines, and leveraging technology to streamline processes. The ideal candidate will possess a strong understanding of software applications, data management, and IT troubleshooting, combined with traditional administrative skills.Key Responsibilities:as the first point of contact for the office, managing correspondence, phone calls, and in-person visits with professionalism and efficiency.advanced knowledge of software applications for document management, presentations, spreadsheets, and databases to support office operations and project management.schedules, appointments, and calendars with attention to accuracy and timeliness.the maintenance of office equipment and technology, troubleshooting issues and liaising with IT support or vendors as necessary.and maintain office systems and procedures to improve efficiency, including electronic filing systems, data management, and cloud-based collaboration tools.reports, presentations, and data, as well as maintain files, records, and documents with a high level of organization and confidentiality.logistics for meetings, conferences, and special events, including technical setup for virtual meetings and presentations.staff by facilitating internal communication, distributing information, and coordinating office activities.abreast of the latest office software and technology trends, recommending and implementing tools and processes to enhance productivity.other administrative duties as assigned to support the efficient operation of the office.Qualifications:experience as an Office Administrator, Office Assistant, or relevant role with a strong emphasis on technology and computer skills.knowledge of MS Office Suite, including Excel, PowerPoint, Word, Outlook, and Sharepoint.with office management software like CRM systems, and project management tools (e.g., Trello, Asana).understanding of IT and troubleshooting skills, with the ability to manage office technology (printers, projectors, teleconferencing equipment).organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines efficiently.communication skills, both verbal and written, with the ability to interact professionally with clients, staff, and external partners.to detail and problem-solving skills.proactive approach to office efficiency and the ability to suggest improvements to office operations.certification or training in office administration, business, or related fields is preferred.Work Environment:Our environment is fast-paced and dynamic with multiple priorities to be juggled. This role is office-based, with standard working hours. Flexibility may be required to accommodate client needs, special projects, or events.
