About the role The role of the Project Officer covers administrative, finance, HR, and logistics functions within the project areas at the field office. Reporting to the project manager, the job holder shall perform all areas of administration, finance logistics, and human resources in close coordination with the country office team. Your impactful goals will include Administrative Support:
- Organize and maintain project-related documents, records, and files. Schedule meetings, conferences, and appointments for project team members.
- Prepare and distribute meeting agendas, minutes, and other relevant materials.
- Handle incoming and outgoing project-related communications, including emails and phone calls.
- Provide general administrative assistance to the project manager and team.
- Arranging seminars, and workshops, and providing logistics support to the project team.
- Arrange documentation and prepare travel plans, logistic plans, and cash advance for the team.
- Assist the Project Manager in preparing project budgets and financial forecasts.
- Assist the Project Manager in monitoring project expenses and tracking budget allocations.
- Process invoices and ensure timely payments to vendors and suppliers by liaising in operations and admin.
- Extend support to the finance department in budget allocations and budget consumption reports.
- Responsible for preparing petty cash-related details of expenses in line with organizational policy and approved by the supervisor monthly.
- Maintain project teams’ personnel records and ensure confidentiality of sensitive information.
- Coordinate on onboarding and orientation to project members.
- Support the HR Department and administering HR Policies and procedures within the project team.
- Coordinate the procurement of project-related materials and equipments.
- Arrange transportation and accommodation for project team members and visitors.
- Track inventory and supplies needed for project operations.
- Ensure timely delivery of goods and services to support project activities.
- Supervise the event management activities.
- Focal person for project staff logistics arrangements, boarding/lodging accommodation etc.
- Assist in preparing project progress reports and presentations.
- Maintain project-related documentation and version control.
- Help in gathering data and information for project evaluations and audits.
- Support the project manager in tracking project milestones and deliveries.
- Collaborate with various departments within the organization to ensure smooth project operations.
- Communicate and coordinate with external stakeholders and partners as needed.
- Coordination with project team and lead to ensure the smooth running of the office.
- Arrangement for staff monthly and assist in senior management meetings.
- Extend support to operations and admin department in managing and alteration of the office when and where required.
- Master’s Degree in Social Sciences/Development Sciences or Project Management
- Certification or Degree with project management is desirable.
- Minimum of 2 years of experience in project support functions.
