Role Overview and Objectives

The Project Coordinator is responsible for supporting and coordinating projects delivered by Project Managers for customers from initiation through to completion of delivery. This role involves all aspects of coordination across one or multiple projects including the delivery of small projects where appropriate.

Role Responsibilities

The Project Coordinator is responsible for (but not limited to):
  • Maintaining and coordinating projects, project schedules and documentation and helping to ensure that projects are delivered within scope, budget and schedule.
  • Coordinating project activities between service lines and outside 3rd parties.
  • Arranging project meetings / workshops as and when required and supporting project governance activities such as creating and maintaining project artefacts such as risks and issues registers.
  • Assisting and providing support for the project team to deliver maximum levels of productivity.
  • Assisting with the initial setup of projects, reporting on the progress against project timeframes, milestones, and budget. Assisting with budget tracking, and month end billing.
  • Analysing problems, compiling and analysing data, and preparing reports/recommendations to support determining an approach to resolve issues.
  • Ensuring that time sheets are logged correctly and on time for all project team members.
  • Delivery of low risk, non-complex projects (small works, FTE engagements etc) as and when required.
  • Adhering to Datacom and customers change management processes.
Ensuring service line KPIs are met which include but are not limited to the following:
  • Timesheets are accurate and submitted / approved on time,
  • All OpenAir project data is accurate and maintained
  • Utilisation target is met.
Requirements Knowledge:
  • General understanding of Project Life Cycle, Project documentation standards and methodologies employed by the organisation.
  • Good financial management practices with a clear understanding of the relationship between costs, utilisation and project revenue.
  • Developing project management knowledge and abilities.
  • Knowledge of current Business Operations processes and procedures.
  • Knowledge of business process re-engineering.
  • Understanding of project management disciplines.
Experience:
  • At least 1-2 (or 2+) years of experience; or an advanced degree without experience; or equivalent work experience.
  • May have a clerical/non-IT background
  • Will have 2 - 4 years' work experience with at least 1 in an IT department.
  • Nice to have but not required: PRINCE2 or PMI certification.
Technical Skills:
  • Well organised with good time management.
  • Strong written and oral communication skills.
  • Developing project management ability.
  • Strong interpersonal and communication skills.
  • Ability to work on assignments requiring considerable judgement and initiative as well as being able to work independently when required
  • Assures adherence to budgets, schedules, work plans, and performance requirements.
  • Good analytical and problem-solving skills.
  • Good planning skills.
