About the client:For over four decades, our client has been a cornerstone in the commercial HVAC industry throughout the Vancouver and Lower Mainland area. They provide a comprehensive suite of services including heating, air conditioning, refrigeration, and custom sheet metal work, catering to a diverse range of needs. No project is too big, too small, or too complex for their skilled professionals.Responsibilities:Answer phone calls and greet staff and clients courteously, providing exceptional first contact experiences.Assist in the coordination and organization of maintenance schedules for buildings and inventory management of filters and parts.Support fleet management by tracking vehicles and coordinating maintenance schedules.Assist departmental team members with overflow work, including special projects and routine daily tasks.Ensure accurate and timely updates are made to the service program, including entering new information and updating existing data.Compile and manage project close-out documents and warranties.Support the purchasing department with obtaining quotations, issuing purchase orders, and managing the logistics of equipment moves and shipping.Maintain and update information in company records systems and departmental databases. Qualifications:Proven administrative or support experience, preferably in a technical or maintenance environment.Positive attitude and ability to work effectively with technicians, focusing on scheduling and logistics.Strong organizational skills with a keen attention to detail and the ability to prioritize tasks.Excellent communication and interpersonal skills to interact effectively with all levels of staff and clients.Ability to learn and adapt to new software and systems quickly.Experience in handling documentation, from compilation to management and filing.Skilled in coordinating multiple activities, such as fleet and equipment maintenance scheduling.Proficient in the use of office software, including databases, and the capability to learn new applications pertinent to the role.
