Job Description

Overview: This position will report to the Executive Director Facilities and Engineering (F&E) and will be responsible for all aspects of project management, co-ordination and communication of work associated with multiple F&E core business processes (QEHS, Reliability, Finance, GLAM, Plant Availability, PMO, Master Planning and People). Responsibilities include: The chosen candidate is responsible for the following:
  • Deployment of F&E Site Goals and periodic communication of status to the teams through multiple forums including Annual Strategy Reviews and Quarterly All Staff.
  • Plans and co-ordinates F&E Core Business Process Meetings.
  • Leads and co-ordinates core process governance and manages action deployment, tracking and closure arising from core process governance and metric review cycles.
  • Cascades status and internal communication associated with F&E Core Business Processes.
  • Uses in-house software to develop automated reports for action and metric review metrics, and action tracking. Liaises with Digital Technology & Innovation (DTI) to identify automated solutions that ease administrative burden.
  • Collates F&E metrics to support Site Governance (e.g., Plant Review, Site Ops, Supply Review).
  • Leads the Continuous improvement of F&E Core Business Processes to identify and eliminate process inefficiencies.
  • Manages F&E Productivity program through co-ordination of ideation sessions, periodic review, validating savings with Finance.
  • Reports and presents periodically on results.
  • Maintaining F&E structural processes such as SharePoint document repository sites, Distribution Lists, Org Charts.
  • Leads improvement of F&E finance metrics and supports F&E cost centre owners in advancing Headcount, Purchase Orders, and Invoice management processes.
  • Leads improvement of training metrics and supports F&E functional leaders in advancing management of completion metrics.
Qualifications:
  • Third Level Qualification – preferably to Degree Level in a relevant discipline (e.g. Business Administration)
  • Minimum of 3 years’ experience in a similar role
Experience/Skills
  • Competent in MS office tools (Word, Outlook, PowerPoint & Excel)
  • Demonstrated ability in the use of IT systems and business packages such as Concur, SAP, Ariba.
  • Experienced in project co-ordination, organisation and managing multiple stakeholders and priorities at any one time.
  • Experience of external stakeholder engagement
  • Capable of working on own initiative and being proactive when taking on duties and tasks
  • Be capable of working on their own and as part of a team, while exercising a high level of judgement, confidentiality, and discretion at all times.
